The short answer

Practice pricing works nothing like business pricing, and that is the whole decision. Dext, the category standard for firms, sells businesses a document allowance from $25.21 a month but sells practices a per-client licence from $17.70 per client per month with a 10 client minimum, verified 31 August 2026. So the smallest possible practice bill is $353.99 a month whether you have ten clients or three. Above the floor it is the obvious choice. Below it, keep clients on their own tools.

Every "best receipt scanner" roundup is written for a business buying one licence for itself. A bookkeeping practice is a different customer with a different rate card, and almost nobody writes about that side. If you run a firm, the comparison that matters is not which app has better OCR. It is which vendor's meter matches how a practice actually makes money, because the meters are wildly different and one of them has a floor underneath it.

The meter changes when you are a firm

Here is the thing that surprises people the first time they price this properly. The same vendor will meter you three different ways depending on who you say you are.

A business buying Dext for itself gets a document allowance: $25.21 a month on annual billing covers 250 documents and 5 users, and you drag a slider up from there. A practice buying Dext gets something else entirely: a per-client licence, from $17.70 per client per month on Essentials and from $19.20 on Advanced, annual subscription billed monthly, excluding tax. Both practice plans carry a 10 client minimum, which Dext publishes as a total of $353.99 and $383.99 respectively.

Meanwhile Zoho Expense meters receipt scans per user per month, at 20 on Free, 200 on Standard and 1,000 on Premium. Expensify meters members. What a practice licence actually costs

Because the per-client rate is quoted "from", the useful number is the floor and what it works out to per client at different book sizes. Published US rates, read off Dext's practice pricing page on 31 August 2026.

The pattern is the same one Emburse creates on the business side with its 15 user minimum, and it is worth naming because it catches people out in both places. A published per-unit rate tells you nothing about your bill until you are above the vendor's minimum. At three clients, Dext's $17.70 headline is really $118. That is not a criticism of the pricing, which is a rational way to sell capacity. It is just a fact you want before the demo rather than after.

What firms are actually buying

If it were only about turning an image into a number, QuickBooks Online receipt capture would be enough and it is included on every paid plan. Practices buy something different, and it is worth being precise about what, because it explains why the price gap is defensible.

The first thing is one queue across many client files. A bookkeeper working ten accounts does not want to log into ten QuickBooks companies to see what is outstanding. The second is data health: flagging the client files where paperwork is missing before month end, rather than discovering it during the close. The third is the chase workflow, which is the genuinely unglamorous part where the software nags the client so a human does not have to.

None of those are OCR features, and none of them show up in a feature-comparison table that ranks tools by extraction accuracy. They are workflow features, and they are the reason practice pricing exists as a separate product line at all.

If you have fewer than ten clients

Do not buy the practice licence yet. The arithmetic above is unforgiving and the alternative is genuinely fine: keep each client on their own tool and integrate at the accounting layer.

Zoho Expense Standard at $3 per user per month on annual billing is the cheapest option that publishes a real quota, at 200 scans per user per month, which means you can size it against a client's actual volume before recommending it. For clients who will move their card spend, Ramp Free and Brex Essentials include receipt capture at $0 per user per month. In both cases you still get the QuickBooks Online or Xero integration, and you have not committed your practice to a floor.

The honest trade is that you lose the cross-client queue, so you are the integration layer for a while. That is the correct call at four clients and the wrong call at fifteen. If clearing the floor is the actual constraint, the bottleneck is usually the front of the funnel rather than the software, and automating the discovery call and client intake tends to move that number faster than any tooling decision on the delivery side.

The lag nobody prices in

One operational caveat that applies to every tool here, and that clients rarely understand when they ask why their reports are behind. Feed-based tools do not import pending card transactions, only settled ones, which typically runs one to three business days. Receipt capture on top of that feed inherits the same delay.

For compliance and for the close, that is completely fine. Where it bites is when a client asks you whether they are on track this month. Receipt software is a record of money already spent, and no vendor can remove the settlement lag from underneath it. A shortlist by firm size

Under 10 clients. Client-side tools, integrated at the ledger. Zoho Expense Standard where you want a published quota, Ramp Free or Brex Essentials where the client will move card spend. Revisit when the tenth engagement letter is signed.

10 to 25 clients. This is where Dext Essentials earns its keep. The floor is no longer a penalty, the cross-client queue starts saving real hours, and $35 or less per client per month is comfortably inside what most firms bill for the work.

25 clients and up. Dext Advanced becomes worth pricing against Essentials for the added automation and controls, at from $19.20 per client per month. At this size the decision usually turns on staff capacity rather than licence cost, and the ROI question is how many client files one bookkeeper can carry.

Clients on multiple card programs. Watch the feed limits separately. Expensify Collect connects exactly one commercial or direct card feed, so a client running both an Amex program and a bank card program is pushed to Control regardless of receipt volume. That constraint has nothing to do with scanning and catches people late.

It is the only rate in this category cheap enough to recommend casually while still carrying a number you can check against a client's real volume.
