On published US rates verified 31 August 2026, a five person team scanning 500 receipts a month pays $0 on Ramp Free or Brex Essentials, $15 on Zoho Expense Standard, $25 on Zoho Premium or Expensify Collect, roughly $45 as a floor on Expensify Control, and $120 on Emburse Spend Basic because it enforces a 15 user minimum. Dext prices the same work by document rather than by person, from $25.21 a month at 250 documents. That is a $0 to $120 spread for identical output, and it tracks the billing model far more than it tracks the scanning.

The question every roundup skips: what is this vendor counting, and what is the published ceiling. Read off each vendor's own pricing page on 31 August 2026. The second column is the one that makes the prices incomparable.

The line worth keeping: Dext is the only major vendor that meters the actual unit of work. Everyone else meters people, or meters nothing and takes the interchange instead. So a three person firm drowning in 900 receipts and a thirty person firm with 200 receipts pay almost exactly backwards under the two models. What 500 receipts a month actually costs

One worked example, held constant: five people, 500 receipts between them in a month, which is 100 each. This is the only way to line up a per-user rate, a per-document allowance and a free tier funded by card interchange. Published US rates, annual billing where a vendor offers it.

Same five people, same 500 receipts, and the bill ranges from nothing to $120. None of that spread is explained by scanning quality. It is explained by who is paying for the software: on Ramp and Brex the card network is, on Zoho and Emburse you are, and on Dext you are paying in proportion to how much paper you generate.

What happens when you hit the limit

This is the part that decides whether a quota is a real risk or a mild annoyance, and only one vendor documents it. Zoho states that once you reach the monthly Autoscan limit you can still create expenses manually and still upload receipts for recordkeeping, and that the quota resets at the beginning of each billing cycle.

Read that carefully, because it reframes the whole comparison. The quota caps the automation, not the record. Your compliance file stays complete either way. What you lose is the extraction: somebody reads the amount, the date and the merchant off the image and types them in. At 100 receipts over a quota, at a conservative 40 seconds each, that is a bit over an hour of someone's month, every month, quietly.

So the right way to price a quota is in labor, not in dollars of subscription. If going one tier up costs $10 a month and saves ninety minutes of a bookkeeper's time, the tier is obviously cheaper. That arithmetic is why the published-quota vendors are easier to buy from than the silent ones: you can do the sum before you sign, rather than discovering the ceiling in month three.

For the four vendors that publish no figure, the accurate description is undisclosed, not unlimited. Ramp, Brex and Emburse simply do not address scan volume on their pricing pages. Expensify does something more revealing: it sells "Unlimited SmartScans" as a feature of its top tier, which is not a sentence you write unless the lower tiers are limited somehow.

High receipts, few people

A construction firm, a restaurant group, a field services company: lots of paper, small back office. Per-seat pricing punishes you here, because you pay for five people and generate the volume of fifty. Dext's document meter is the only model that lines up with the work, and it is why accounting practices standardized on it.

Many people, ordinary volume

A 60 person services company where most people expense something occasionally. Per-document pricing is wasteful and per-seat pricing is what you want, ideally at zero. Ramp Free or Brex Essentials, if you are willing to move card spend onto their program, which is the real commitment being asked.

You want a number in the contract

Some finance teams will not buy a capability they cannot size. Zoho Expense is the only vendor here that lets you check 200 or 1,000 scans per user against your own last twelve months before signing anything. At $3 per user per month on annual billing, it is also the cheapest way to get a written ceiling.

More than one card program

This is the constraint people discover late. Expensify Collect connects exactly one commercial or direct card feed. If you run an Amex program and a bank card program, receipt volume never enters the decision: the feed limit sends you to Control on its own.

One more thing worth checking before any demo. Every feed-based tool inherits the same posting lag, because pending card transactions are not imported until they settle, typically one to three business days. That is not a flaw in any product on this list. It just means receipt capture tells you about last week, and if you need to know about this week you need something watching the budget rather than the paperwork.

It depends on whether your constraint is people or paper. If receipt volume is high relative to headcount, Dext is the only major vendor that meters documents rather than seats, so the bill tracks the actual work. If headcount is the constraint and volume is ordinary, Ramp Free and Brex Essentials include receipt capture at $0 per user per month. Zoho Expense Standard at $3 per user per month is the cheapest plan that publishes a real quota.

QuickBooks Online has receipt capture built in on every paid plan, so the first question is whether you need a second tool at all. You do when you need approval routing, card feeds beyond one, or per-employee policy rules, none of which QuickBooks receipt capture handles. Dext, Expensify, Ramp and Zoho Expense all publish QuickBooks Online integrations and all push a coded, receipt-attached transaction rather than a raw image. Do I need to keep paper receipts for business expenses if I scan them?

The IRS has accepted electronic storage of records since Revenue Procedure 97-22, provided the system reproduces a legible, complete copy and you can retrieve records on request. Scanning does not weaken the record. There is a separate substantiation rule worth knowing: under Treasury Regulation 1.274-5(c)(2)(iii), documentary evidence is generally required for lodging and for other expenses of $75 or more, which is the threshold most corporate expense policies mirror. Is there a free receipt scanner for small business?

Yes, and the catch is different in each case. Ramp Free and Brex Essentials include receipt capture at $0 per user per month because card interchange funds the software, so the price is moving your card spend to them. Zoho Expense Free is genuinely free but caps you at three users and 20 scans each. Expensify says individuals get unlimited SmartScans on New Expensify, but that expense categorization requires a paid plan, which is the part a business actually needs.

What is the best way to scan receipts for business expenses?

Capture at the point of spend from a phone, not in a monthly batch, and let the tool match the image to the card transaction automatically. Batch scanning at month end is where receipts go missing and where coding gets guessed. The metric that matters is not OCR accuracy, it is the match rate between imported card transactions and captured images, because every unmatched line becomes manual work for whoever closes the books.

Does receipt scanning software replace expense management software?

Not on its own. A scanner turns an image into a coded line item. Expense management adds the parts around it: approval routing, policy rules, card feeds, reimbursement runs and the accounting export.
