Spend management is the practice of controlling company spending while it happens: setting budgets, watching every charge across cards and accounts, and acting before money is wasted. Expense management, by contrast, processes and reimburses spending after the fact.

What is spend management?
Spend management is the practice of controlling company spending while it happens: setting budgets, watching every charge across cards and accounts, and acting before money is wasted. It covers budgeting, monitoring, alerting and analysis of all outgoing spend, not just employee expenses.
What is spend management software?
Spend management software gives finance teams one live view of company spending and the controls around it: budgets and limits per employee, team and category, alerts when a threshold breaks, subscription tracking and anomaly detection. Some platforms bundle their own corporate cards; alert-first tools like Spendnotify instead monitor the cards and accounts a company already has.
How does spend management work?
A spend management system connects to the sources of spend, applies rules to every transaction, and reports or alerts on the result. In Spendnotify that loop is three steps: connect your existing cards and accounts through read-only links, set budgets and limits, and get an email, SMS or Slack alert the moment a charge crosses a line. The full walkthrough is on the real-time expense tracking page.
Spend management vs expense management: what is the difference?
Spend management controls money before and while it is spent; expense management processes what employees already spent, through reports, receipts and reimbursements. A spend management tool answers "are we about to go over budget", while an expense management tool answers "was last month's spending documented and reimbursed correctly". Many companies run both.

About Spendnotify
Honest answers about Spendnotify
Is Spendnotify accounting software or a bank?
Neither. Spendnotify is a monitoring and alerting tool. It does not replace your accounting software, does not issue cards, does not hold funds, and does not move money. It watches spend on the setup you already have and tells you the moment something crosses a line.
Do we have to switch cards or banks?
No, and that is the point. Spendnotify connects to your existing corporate cards and bank accounts through read-only links. You keep your card program, your banking relationships and your workflows, and add an alert layer on top.
How does Spendnotify compare to Ramp or Brex?
Ramp and Brex are card issuers: they give you real-time control because they issue the card your team spends on, and they can decline a non-compliant charge outright. Spendnotify cannot block a payment. It watches the cards you already hold and alerts a human within moments. If you want the hard block, pick an issuer. If you will not move your card program, see our best spend management software comparison, the Ramp alternative page, or Ramp vs Brex.
Can Spendnotify move or block payments?
No. The connections are read-only by design: Spendnotify can see spend, and it can never move, hold or block it. The worst the system could ever do with your money is describe it. Data handling is covered on the expense management security page.
Which channels do alerts use?
Email, Slack and SMS, depending on plan, with webhook and API delivery planned for the Enterprise tier. Every alert names the rule that fired, the amount and the person, so it is actionable on its own. See how budget alerts are structured.
What does "early access" mean?
It means Spendnotify has not launched yet. You leave your work email, confirm it with a code, and we email you when your spot opens. There is no payment, no account and no waitlist theater: just an honest list, worked through in order.
How much will Spendnotify cost?
Planned launch pricing is flat per month, not per user: Team at $199, Growth at $449, Scale at $999, and a custom Enterprise plan. Yearly billing saves 20 percent, and early-access members lock in launch pricing. Details are on the spend management software pricing page.
Is my email safe if I join the list?
Yes. We store your email, a confirmation code, the page you signed up from and your IP, and we use the address to confirm the signup and to tell you when your spot opens. We do not sell or share the list. The details are in the privacy policy.
Does the demo see our real data?
Only if you paste it, and even then it is parsed and analyzed in your browser rather than uploaded. Pasted data never leaves your browser; only runs on our bundled sample companies make one optional network call to write a plain-English explanation, and the demo falls back to built-in text without it. Glossary
Five terms finance teams use
- Spend management
- Controlling company spending as it happens, through budgets, monitoring and alerts, rather than documenting it afterwards.
- Budget variance
- The gap between planned and actual spend. Real-time budget alerts surface variance while the month is still fixable, instead of at close.
- Anomaly detection
- Rules that flag charges unlike normal behavior: duplicates, amount outliers, new merchants, off-hours spikes. It is the core of expense fraud detection.
- Zombie subscription
- A recurring charge that keeps billing after everyone stopped using the tool. Subscription monitoring exists largely to catch these.
- Corporate card policy
- The written rules for who may spend what on company cards. Corporate card monitoring is how a policy gets enforced without chasing statements.
