Paycom expense management and Paycom expense reimbursement priced against the alternatives
Paycom's expense tool lives inside its single HR and payroll system and repays employees on the Paycom paycheck. It has no published price. Expensify Collect costs a 50 person company about $1,800 a year, SAP Concur Base about $2,520, and Ramp or Brex $0 if your card spend moves to them. That is the range your Paycom quote has to beat.
Whichever tool you pick
See the day a department budget alert would have fired
Paycom counts a dollar once a report is approved and again on payday. Card spend is already in your bank feed days before either. Set a budget, replay a month of card spend, and watch when the alert fires. It runs in your browser and nothing is uploaded.

What Paycom expense management does
Paycom sells expense management as one tool inside the same system that runs your payroll, time and benefits. Its own product page lists seven things the module does, and they are worth reading as a checklist, because a standalone tool has to match each one or give you a reason not to care.
Receipt capture
Snap or upload a receipt and Paycom fills in the fields.
Card matching
Stored receipts are matched to corporate card charges.
Rule-based approval
Submissions that meet your criteria approve themselves; the rest notify a manager.
Duplicate warnings
Employees are warned before they submit the same expense twice.
Mileage
FAVR and Mileage Tracker calculate vehicle reimbursement.
GL allocation
Expenses are allocated to general ledger accounts.
Payroll repayment
Approved expenses feed into Paycom payroll, so the employee is repaid on the next paycheck.
The last line is the one to weigh. Paycom's pitch is a single database: employee records, approvals, payroll and reimbursements in one place, with nothing to sync. That is a real advantage on the day someone leaves, because their approval rights and pending reimbursements are handled in the same system that ends their pay.
The flip side is integrations. On ADP, the marketplace lists several expense apps that write reimbursements onto the paycheck, laid out on our ADP expense management page. On Paylocity, Ramp's listing says approved expenses flow back to payroll, as covered on Paylocity expense management. For Paycom we found no published connector for Expensify or SAP Concur, and Ramp's Paycom page talks about onboarding and spend controls, not about writing reimbursements back. If you choose an outside tool on Paycom, assume it repays people itself unless the vendor shows you otherwise in writing.
Is the Paycom module worth it
Paycom expense management against five alternatives at 50 employees
One company on Paycom payroll, 50 employees, 30 of whom file one expense report a month. Each tool is priced on its own published meter. Every alternative keeps Paycom as your payroll.
Swipe the table sideways to compare all columns.
| Option | Published meter | Year one | How employees are repaid, and the catch |
|---|---|---|---|
| Paycom Expense Management | None published, in your Paycom quote | Quote | On the Paycom paycheck. No roster sync, but you are buying more of one vendor |
| Ramp Free or Brex Essentials | $0, funded by the card | $0 | By the vendor's ACH, and only $0 if card spend moves to their card |
| Expensify Collect | $5 per member a month | $1,800 | By Expensify's ACH once approved. No Paycom connector found |
| SAP Concur Base | From $7 per report | $2,520 | Concur's payment service or a payroll file you load. No Paycom connector found |
| Fyle (Sage Expense Management) Growth | $11.99 per active user, billed yearly | $4,316 | By ACH, and it reads the cards you already hold |
Our arithmetic on each vendor's published entry rate, read October 2026, before discounts. Excludes your Paycom payroll fee.
Read the last column before the price column. Every alternative repays people outside Paycom payroll, which means two payment streams: payroll on payday, and expense reimbursements by ACH on whatever day the vendor sends them. Someone has to match both against the bank every month, and that is usually where a reimbursement gets booked twice or not at all. If you go that way, put reconciliation software that matches bank lines against payouts on the list, or budget the bookkeeper's time for it.
So the honest comparison is not "Paycom quote against $1,800." It is the Paycom quote against $1,800 plus the cost of running a second payment stream. For a company that reimburses a lot, that second stream is worth real money, and the Paycom module can win at a higher sticker price. For a company that runs most spend on company cards, reimbursements are rare and the $0 card platforms win easily. Rates in detail are on our Expensify pricing, SAP Concur pricing and Ramp pricing pages.
Paycom expense management vs Concur, and who should keep which
Keep or buy the Paycom module if your people are mostly reimbursed for mileage and personal-card spend, you want it on the paycheck, and HR already lives in Paycom. FAVR support matters here: a sales team on a fixed and variable rate allowance needs exactly that calculation, and few standalone expense tools offer it.
Look at SAP Concur instead if travel is your biggest cost and you want booking and expense reporting in one tool. Concur bills per report, so a company that files few reports pays little. The catch on Paycom is the missing connector: reimbursements arrive by Concur's payment service or a file someone loads, not automatically on the paycheck. Our SAP Concur alternatives cover the rest of that field.
Look at Ramp or Brex if most spend already goes on company cards. Reimbursement becomes a minor flow, card controls become the main event, and $0 is hard to argue with as long as the card spend actually moves.

Three questions to ask Paycom about the expense module
1
Is it priced on every employee or on filers?
Paycom prices by the tools you select. Ask whether the expense line is multiplied by headcount or only by people who file. With 30 filers out of 50, that one answer moves the price by 40 percent.
2
Which corporate cards does it match?
Name your issuers, whether that is American Express, a bank Visa or a Mastercard program, and get a yes or no for each feed before you sign.
3
Can it be dropped without touching payroll?
If the module renews with your Paycom contract, leaving it later means renegotiating both. Ask for it to be cancellable on its own.
The part no expense tool covers
Paycom's module and every alternative above are built to repay people and record what was spent. None warns a department head on the 12th that the month's budget is already 70 percent gone, because each only counts a dollar once a report is approved. SpendNotify does that one job. It reads the charges from the cards and bank accounts you already use and alerts the budget owner when a department is on pace to overshoot, when a subscription renews at a higher price, or when a new recurring charge appears.
It does not reimburse anyone, run payroll or connect to Paycom, and it does not replace the module. Plans are flat per month, from $199, or $99 a month billed yearly, whatever your headcount. How the alerts work is on budget alerts.
Questions buyers ask
Paycom expense management, answered
Does Paycom have expense management?
Yes. Paycom sells an Expense Management tool inside its HR and payroll platform. It reads receipt photos and fills in the fields, matches stored receipts to corporate card charges, auto-approves submissions that meet rules you set, warns about duplicates, handles mileage through FAVR and Mileage Tracker, and feeds approved expenses into Paycom payroll.
How much does Paycom expense management cost?
Paycom does not publish a price. Its pricing page says cost depends on the tools you select, with a Core package every client uses and additional tools on top, so the expense module is priced in your quote. For scale, a 50 person company with 30 filers pays about $1,800 a year on Expensify Collect and about $2,520 on SAP Concur Base.
How do Paycom expense reimbursements get paid?
Through Paycom payroll. Paycom says the module feeds approved expenses into payroll, so the reimbursement arrives on the next paycheck rather than as a separate transfer. Under an accountable plan that money is not taxable wages, as long as the earning used for it is set up as non-taxable. Our accountable plan guide covers the rules.
Does Paycom integrate with Expensify or Concur?
We found no published Paycom connector for Expensify or SAP Concur as of October 2026. Ramp lists Paycom as an HR system it connects to for onboarding and spend controls, without saying reimbursements go back into Paycom payroll. Ask any vendor for a written description of the Paycom sync before you buy.
What are the alternatives to Paycom expense management?
For a company that keeps Paycom payroll, the usual ones are Expensify ($5 per member on Collect), SAP Concur ($7 per report on Base), Fyle or Sage Expense Management ($11.99 per active user), and Ramp or Brex at $0 if card spend moves to them. They repay employees by their own ACH, outside the Paycom paycheck. The wider field is on our expense reimbursement software comparison.
