Expensify pricing and cost in 2026: every plan, and the real alternatives

The number you see quoted everywhere is $9 per member. That is not the standard price. It is the annual price after a full Expensify Card discount, and the discount scales with how much of your spend runs on their card. This page shows the whole table, straight from Expensify's billing documentation, and works out what a real team actually pays.

How much does Expensify cost?

Expensify publishes two workspace plans. Collect is $5 per unique member per month, billed pay-per-use. Control is $18 per member per month on an annual subscription, or $36 per active member per month on pay-per-use. The $9 figure quoted in most roundups is the Control annual rate after a full 50% Expensify Card discount, and Expensify calculates that discount from the percentage of your approved USD expenses that ran on the Expensify Card. So the advertised price assumes you are using their card for essentially everything. If you are keeping the corporate cards you already have, budget $18 per member per month, not $9.

Expensify's own marketing page summarizes this as "$5 per member/month" for Collect and "custom pricing as low as $9 per active member/month" for Control. The help center is where the conditions attached to "as low as" are written down.

The condition nobody quotes

Why the $9 price is really $18 for most buyers

This is the single most misunderstood thing about Expensify's price, and it is documented plainly in their help center.

"Control Workspaces with an Annual subscription can receive up to a 50% discount on their subscription pricing based on Expensify Card usage. Your discount is calculated based on the percentage of all approved USD expenses in your Workspace during the billing month that were incurred on the Expensify Card. As that percentage increases, your subscription discount increases proportionally, up to a maximum of 50%."

The discount is a sliding scale

It is not a checkbox you tick by owning an Expensify Card. Put half your approved USD spend on their card and you get roughly half of the 50%. Put none on it and you pay full freight. Your software price is a function of your card program.

It requires the annual commitment

The 50% discount applies to Control workspaces on an Annual subscription, which is a 12-month commitment to a subscription size you pick up front. Pay-per-use Control with full card usage lands at $18, not $9.

Overage is billed at the higher rate

Members inside your subscription size are billed monthly whether or not they are active. Active members above that size are billed at the pay-per-use rate of $36 each. Guess your headcount low and the extras cost double.

The honest reading of this

None of this is a scandal. Expensify earns interchange when you use their card, so they hand part of it back as a software discount. That is a rational, common business model, and if you are happy to run their card it is genuinely good value: $9 per member for a mature expense platform is competitive. The problem is only that the conditional price gets quoted as the real price. Expensify has a reputation as the card-agnostic option, and it is card-agnostic functionally. Its pricing is not. The less you use their card, the more you pay, up to double.

The spread between the best and worst case is $9,300 a year for the same headcount on the same product. That is why "how much does Expensify cost" has no single answer, and why the plan you are quoted matters more than the logo you pick.

Credit where it is due

Where Expensify genuinely wins

Expensify is a good product with a long track record. We are not the right answer for most of what it does, and pretending otherwise would waste your time.

Receipts and reimbursements

SmartScan, mileage, per diems, and paying an employee back for something they bought out of pocket. This is Expensify's core competence and it is mature. We do not do any of it.

It works with any card

Functionally, Expensify is card-agnostic: it will take an Amex, a Chase card, whatever you carry. That is rare in this category, and it is the reason it stays on shortlists.

Accounting depth

Control integrates deeply with QuickBooks, NetSuite, Xero, Sage Intacct, and more, with real coding and export rules. Spendnotify has no accounting integration at all.

The one thing it cannot do, and we can

Timing. Expensify's own documentation describes third-party card transactions as arriving "when they post, typically within 1 to 2 business days". For an expense report, that is completely fine. For catching a duplicate charge, a budget breach, or a subscription that renewed at triple last year's price, one to two business days is the difference between stopping something and reading about it. Spendnotify does nothing but watch the cards and accounts you already hold and tell a human within moments. It is not an expense platform, it cannot pay anybody back, and it can never decline a transaction. Plenty of teams run both.

These are different products and the prices are not like for like. Expensify at $18 per member buys receipts, approvals, and reimbursement, which we do not offer. Spendnotify at a flat $199 a month buys monitoring and alerting, which they do not offer in real time on your own cards. Practical

Four ways to lower an Expensify bill

Before you migrate anything, most of the savings available to you are inside the plan you are already on. Migration is expensive in hours, and the hours rarely show up in the business case.

Check whether you actually need Control. Control exists for multi-step approval chains and deep accounting rules. If your workflow is "employee submits, one manager approves, it exports to QuickBooks", Collect at $5 may cover it. That is a $13 per member per month difference, which on 25 people is $3,900 a year.

Right-size the annual subscription. You pay for every member inside your subscription size whether they log in or not, and every active member above it costs $36. Count the people who actually filed an expense in the last six months, not your headcount.

Decide about the card deliberately. The 50% discount is real money, and if you have no strong reason to keep your current cards, taking it is rational. Just make it a decision rather than a default, and price the switch: moving a card program means re-issuing cards, updating every vendor on file, and re-doing your corporate card policy.

Separate the two jobs. Expense reporting and spend monitoring are different problems, and buying one expensive tool to do both badly is how finance teams end up over-licensed. Expensify no longer advertises a free company plan. The entry point is the Collect workspace at $5 per unique member per month, billed pay-per-use, so you are charged only for members who actually use the workspace in a given month. Individuals tracking personal receipts can still use it at very low volume, but business use starts at $5.

Do you need the Expensify Card to get the $9 price?

Effectively yes. Expensify documents that the Control discount is calculated from the percentage of all approved USD expenses in your workspace that were incurred on the Expensify Card, and it scales proportionally up to a maximum of 50%. Reaching $9 per member means running essentially all approved spend on the Expensify Card, on an annual subscription.

What is the difference between Expensify Collect and Control?

Collect is the core plan at $5 per member per month: expense capture, receipt scanning, approvals, and reimbursement. Control adds the enterprise layer, including multiple approval workflows, accounting integrations at depth, and admin controls, at $18 per member per month annual or $36 pay-per-use. Most finance teams buying for compliance end up on Control.

What is the best Expensify alternative?

It depends what you are replacing. For receipts and reimbursements, Ramp and Brex both bundle expense software free with their card.
