The short version
How much does procurement software cost?
For a US small or mid-size company, procurement software costs roughly $3,000 to $25,000 a year. Published prices run from $9 per user a month at Spendwise to $830 a month at ProcureDesk. Quote-only tools land higher: Vendr puts the median Procurify contract at $15,000, and enterprise suites like Zip and Coupa sit near $88,000 and $94,519.
Is procurement software priced per user?
Only some of it, and that is the whole story of this market. There are five models in use by the tools a US small business is likely to shortlist, each read from the vendor's own pricing page on October 5, 2026.
Per seat. Spendwise charges $9 a user a month on Basic and $19 on Pro, with budgets only on Pro. ProcureDesk bundles 10 users into its $9,960 a year Startup plan and 20 into the $15,000 Growth plan, then charges $20 a user a month. Everyone who logs in costs money.
Free requesters, paid approvers. ControlHub's $249 a month Approvals plan has unlimited requesters and five advanced users, with more at $12 each. Procurify gives requesters free Basic seats and quotes on Pro users. A crew of 40 who only ask for things costs nothing extra.
Flat tier. Precoro sells Core at $499 a month and Automation at $999, both billed annually. Tradogram starts at $99 a month on Essentials and quotes Premium. The bill does not move with headcount inside a tier.
Spend under management. ProcurementExpress prices by how much money runs through it: $415 a month for up to $10,000 of monthly spend, $900 for up to $1 million, $2,550 for up to $10 million.
Card-funded add-on. Ramp's card plan is free, but Procurement is an add-on to Plus, at $15 a user a month plus a platform fee, or to Enterprise, with no published add-on price.

When does per-user procurement pricing stop being cheaper?
Per-user pricing stops being cheaper as soon as most of your staff need a login just to ask for things. The math is simple. ProcureDesk Startup is $9,960 for ten seats and $240 a year for each seat after that, so the 19th seat takes it to $12,120, past Precoro Automation's flat $11,988. Spendwise stays cheapest for longer, but Pro stops at 50 users.
The free-requester model wins whenever requesters heavily outnumber approvers. ControlHub's bill barely moves from 15 to 120 people because only approvers count. The catch is that budgets are not on Approvals; they sit on the Full P2P plan, which is quoted. If budget control is the reason you are buying, price that plan, not the $249 one.
Spend-based pricing behaves the opposite way. ProcurementExpress does not care about headcount at all, but the jump from $415 to $900 a month comes the moment more than $10,000 a month flows through it. A company that buys a lot from few people is a good fit. A company that buys little from many people is not.
What the quote leaves out
Integrations and setup are where small business quotes grow. Spendwise sells its implementation package and its accounting system integrations as add-ons. Precoro sells integrations, multiple companies and concierge setup on top of Core and Automation. ProcureDesk includes onboarding and its QuickBooks, Xero and BILL sync on Startup, but NetSuite, Sage Intacct and Business Central only on Growth.
The other gap is month-end. A procurement tool matches a supplier invoice to its purchase order and receipt. It does not match your bank account to your books. That step still happens at close, either by hand or with dedicated bank reconciliation software, and it is worth pricing alongside the procurement tool if your close is already slow.
Finally, none of these tools sees the spend that never becomes a purchase request. Software subscriptions, travel, ad spend and most small purchases go straight onto a company card. That is why some teams pair a procurement tool with budget alerts on card and bank spend, and why others find the alert alone solves the problem they set out to fix.
Procurement software pricing questions and answers
Does Ramp charge for procurement?
Yes. Ramp lists Procurement as an add-on to its Plus plan, which costs $15 per user a month plus a platform fee, or to Enterprise, and does not publish the add-on price. How much does Coupa procurement cost?
Coupa does not publish prices. Vendr's contract data puts the median Coupa deal at $94,519 a year, which places it in a different budget from every tool in the table above. It is built for enterprises with global sourcing and supplier networks, not for a 60-person company that needs purchase orders and approvals.
Is there a procurement tool priced per transaction?
Not among the common small business tools. The closest is ProcurementExpress, which prices by the dollar value of spend you manage each month rather than by count. Spendwise Basic limits you to ten transactions a month, which in practice pushes any active team onto Pro.
Do procurement tools offer a trial?
Several do. ControlHub lists a 30-day trial on all plans, Spendwise links a free trial from its pricing page, and ProcureDesk offers a 30-day money-back guarantee instead. Use the trial to push one real purchase order and one bill into your accounting system, which is where most small business rollouts stall.
