For a US company under about 50 people, Spendwise Pro is the cheapest tool that includes budgets, at $19 per user a month. ControlHub suits a team with many requesters and few approvers, from $249 a month. ProcureDesk is the only one that puts budget tracking and alerts on its entry plan, at $9,960 a year. Precoro and Procurify fit companies heading past 100 people.

How much does procurement software cost for a small business?

Published entry prices run from $9 per user a month to $830 a month. That range is misleading, because the entry plans mostly leave out budgets. Price the first plan that tracks spend against a budget and a 25-person company pays about $5,700 a year on Spendwise Pro, $11,988 on Precoro Automation and $13,560 on ProcureDesk with every person seated.

Seat counting changes the answer more than the list price does. Spendwise and ProcureDesk charge for each login. ControlHub and Procurify let requesters in free and charge for approvers and buyers. If only five people at your company ever approve anything, those two models get much cheaper than the table suggests.

Add one-time costs before you compare. ProcureDesk includes done-for-you onboarding. Spendwise sells an implementation package and accounting integrations as add-ons. Precoro sells integrations and concierge setup separately. A quote that leaves out the QuickBooks or Xero sync is not the price you will pay.

Do small businesses need procurement software?

A small business needs procurement software when a purchase must be approved before the money is committed, when it sends purchase orders to suppliers, or when invoices have to be matched to an order and a receipt before they are paid. Those are control problems that only a request-and-approve workflow fixes.

Many owners start shopping for a different reason. Marketing spent its quarter in seven weeks. Someone put three new software subscriptions on a card. The office supply bill doubled and nobody noticed until the close. None of that went through a purchase order, and buying a PO system will not change that, because people will keep using the card.

Which procurement software includes budget tracking?

Budgets sit on a higher plan at most vendors. Spendwise includes them on Pro, not Basic. Precoro lists real-time budget tracking on Automation, from $999 a month. Tradogram puts it on Premium and ControlHub on Full P2P, both quote only. ProcureDesk is the exception, with budget tracking and alerts on its entry Startup plan.

What is the cheapest procurement software for a small business?

Spendwise Basic, at $9 per user a month, has the lowest published price, but it stops at five users and ten transactions a month and has no budgets. ControlHub Approvals, at $249 a month with unlimited requesters, is the cheapest way to put a large team behind an approval step. For budgets, Spendwise Pro is the lowest at $19 a user.

Does QuickBooks have procurement software built in?

QuickBooks Online creates purchase orders on its Plus and Advanced plans, but it is not built for employee purchase requests, approval routing by amount or budget checks before an order goes out. Most small business procurement tools, including Spendwise, Precoro, ProcureDesk and ProcurementExpress, sync their orders and bills into QuickBooks instead of replacing it.

Is Spendwise better than Procurify for a small business?

Under about 50 people, usually yes on cost. Spendwise Pro publishes $19 a user a month with budgets, while Procurify quotes every customer and Vendr puts its median contract at $15,000. Spendwise caps Pro at 50 users, though, and Procurify's free requester seats and location budgets start to pay off as the company grows.

Is Ramp procurement free?

No. Ramp's card and expense plan is free, but Ramp lists Procurement as an add-on to its Plus plan, which costs $15 a user a month plus a platform fee, or to Enterprise. The procurement price itself is not published, and it assumes your company cards are Ramp cards.

Is SpendNotify procurement software?

No. SpendNotify does not take purchase requests, issue purchase orders, route approvals or match invoices. It watches the card and bank charges a company already has and alerts the budget owner when a department budget is on pace to overshoot or a new recurring vendor appears. Plans are flat, from $199 a month.
