Rippling Spend alternatives for teams not on Rippling payroll, priced for one 50 person company

Rippling Spend makes the most sense when Rippling already holds your org chart. If your payroll runs on Gusto, ADP, Paychex or QuickBooks, you pay a per-employee price for an advantage you cannot use. Here are seven alternatives, each priced on its own meter for the same company.

Every tool on this page controls a single card or a single report. None of them is built to tell a budget owner on the 12th that the team is on pace to finish the month 20 percent over. Set a budget, replay a month of card spend, and watch when the alert fires. It runs in your browser and nothing is uploaded.

The short version

What is the best alternative to Rippling Spend?

For a US company that is not on Rippling payroll, it depends on where the money goes. If most spend is on cards, Ramp Free or Brex Essentials cost $0. If most is reimbursements, Emburse Spend at $8 per active user or Expensify Collect at $5 per member cost less than half of Rippling's $14 per employee. If you want to keep the cards you have, Fyle works with them.

Why teams look for a Rippling Spend alternative

Three reasons come up again and again, and none of them is that the product is bad. Reviewers rate it well, and its policy engine is one of the best in the category.

The meter counts the roster. Rippling's own blog prices expense management at $14 per employee per month and corporate cards at $8. In a 50 person company where 30 people ever spend company money, a headcount meter bills 20 people who never open the app. The full arithmetic, at four company sizes, is on our Rippling Spend management pricing page.

The best feature needs Rippling HR. Approval chains and card limits that follow a person's role, department and level are the reason to buy Spend. They read that data from Rippling's HR platform. Rippling says Spend works standalone, and it does, but then someone has to keep the org data current by hand or by sync, which is the work the product was supposed to remove.

The price is a conversation. Rippling's pricing page shows no number for Spend, and its own review says the customization "can make it tricky to understand what you're getting without a sales demo." The same review lists fewer export customization options than some standalone tools and no round-the-clock phone support. Buyers who want to read a rate card and decide in an afternoon go elsewhere.

Rippling Spend alternatives priced for the same 50 person company

One company, 50 employees, 30 of whom file an expense or use a card in a normal month. Each row uses the vendor's own published price and its own meter. Rippling's row uses the rate from its blog, billed on all 50.

Tool and plan Who is billed Monthly Year one Best when
Ramp Free, Brex Essentials Nobody $0 $0 You qualify and will move card spend to their card
Zoho Expense Premium 30 users at $5, billed yearly $150 $1,800 Cost comes first, or you already run Zoho Books
Emburse Spend Basic 30 active submitters at $8 $240 $2,880 Many approvers, few submitters. Approvers are not billed
Expensify Collect 50 members at $5 $250 $3,000 Simple reports and receipt scanning for everyone
Fyle Growth 30 active users at $11.99, billed yearly $360 $4,316 You want to keep the bank cards you already have
Navan Expense 25 active users at $15 after 5 free $375 $4,500 Travel is a large share of what people expense
Brex Premium 50 users at $12 $600 $7,200 Several entities or staff abroad, on the Brex card
Rippling expense management 50 employees at $14 $700 $8,400 Rippling already runs your HR or payroll

Every paid alternative in the table comes in below Rippling for this company, and the gap is widest for the tools that bill active users. Emburse Spend Basic is $5,520 a year cheaper. Fyle Growth is $4,084 cheaper. The gap closes as the share of spenders rises. If all 50 people file expenses every month, Fyle costs $7,194 a year and the difference from Rippling is small enough that features should decide.

Two cautions on the cheap rows. Emburse Spend Basic caps ACH reimbursements at 50 a month, so a company with heavy reimbursement volume needs Plus at $12. And Ramp Plus, at $15 per user plus a platform fee, is above Rippling, so the $0 row only holds while Ramp's free tier covers what you need.

Which Rippling Spend alternative fits your payroll system

The payroll system matters because it decides how people get paid back and where the employee list comes from. Start there, then look at price.

On Gusto. Gusto has its own Expenses feature on the Plus and Premium plans. It pays approved claims on the next payroll and covers US W-2 employees. If you are on Gusto Simple, moving to Plus costs $31 a month more plus $6 more per person, which is $331 a month at 50 people. That is cheaper than Rippling's $700 and it keeps everything in one system, but it has no card program and light policy rules. Our Gusto expense reimbursement page covers where it runs out, and Rippling vs Gusto for expenses compares the two head to head.

On ADP, Paychex or QuickBooks Payroll. None of these gives you much reason to buy expenses from the payroll vendor, so choose on the meter. Reimbursement-heavy teams do best on Emburse Spend or Zoho Expense. Teams that want a card program with no software fee should apply to Ramp or Brex first and fall back to an expense-first tool if they are not approved.

Already on Rippling payroll, but priced out of Spend. You can keep Rippling for payroll and run expenses somewhere else. You give up reimbursement on the next pay run and org-chart approvals. For a company with ten spenders out of sixty, that trade often saves several thousand dollars a year. For a company where everyone travels, it usually does not.

What you give up by not choosing Rippling Spend

The alternatives are cheaper for most companies outside Rippling. They are not better at everything, and three things are worth pricing in before you walk away.

  • Rules that follow the org chart. In Rippling, a promotion or a team move changes a person's limit and approver the same day. In a standalone tool, somebody updates that by hand or waits for a sync.
  • International reimbursement. Rippling says it reimburses in more than 100 countries in local currency. Emburse Spend is sold in the United States and Australia. If you have staff in six countries, check each alternative's country list before its price.
  • One vendor, one bill. HR, payroll, devices and spend on one contract is worth something to a two-person finance team. It is also what makes the contract hard to leave, so weigh it both ways.

How a hiring plan changes the answer

A per-employee meter does not stand still. Every new hire adds $14 a month for expenses and, with cards, $22, from the month they start, whether or not they ever spend. A company going from 50 to 80 people in a year sees its Rippling expense bill rise from $8,400 to $13,440 a year without a single change in how much is spent or reviewed.

Growth is good news, and most teams adding thirty people are already using an AI recruiter that sources and screens candidates to fill those roles faster. Just put the headcount plan next to the software quote. On an active-user meter, thirty new engineers who never file an expense cost nothing. On a roster meter, they cost $5,040 a year.

The same logic is why a flat price suits anything that is not tied to individual users. Budget alerts are a company-level job. Nobody needs a seat to be warned that marketing is at 85 percent on the 18th.

Where SpendNotify fits next to any of these tools

SpendNotify is not a Rippling Spend alternative in the full sense, and it would be wrong to list it in the table. It issues no cards, reimburses nobody and holds no receipts. What it does is the part these tools leave for a dashboard: it reads the charges from the cards and bank accounts you already have and sends the budget owner an alert by email, Slack or webhook when a budget is on pace to overshoot, when a subscription renews at a higher price or when a new recurring charge appears.

Plans are flat per month for the whole company, from $199 a month or $99 a month billed yearly, so the price does not move when you hire. Teams use it next to a $0 card platform to get the pace warning the free tier does not send, and next to an expense-first tool that only sees a charge once someone files it. How the alerts are calculated is on our budget alerts page, and the wider field is in our roundup of the best spend management software.

Questions buyers ask

Rippling Spend alternatives questions

Who are Rippling Spend competitors?

Rippling Spend competes with card-first platforms (Ramp, Brex, BILL Spend and Expense), expense-first tools (Expensify, Emburse Spend, Fyle, Zoho Expense, SAP Concur) and travel-led platforms (Navan). Among payroll vendors, Gusto includes an Expenses feature on Plus and Premium. Rippling is the only one of these that prices expense management per employee on the whole roster.

Is Ramp cheaper than Rippling Spend?

On the free tier, yes. Ramp Free costs $0, and Rippling's expense module is $14 per employee per month by Rippling's own figures, or $8,400 a year at 50 people. Ramp Plus at $15 per user plus a platform fee is slightly above Rippling. Ramp needs you to move card spend to its card. Rippling's expense module does not. See Ramp pricing for the fee.

Can I keep Rippling payroll and use a different expense tool?

Yes. Payroll and expenses do not have to come from the same vendor. You lose reimbursement on the next Rippling pay run and approval rules that follow the Rippling org chart, and you gain a lower or active-user price. Most standalone tools reimburse by ACH in a few business days and take an employee list from a file or an HR sync.

Is there a Rippling Spend alternative that does not charge per employee?

Several. Emburse Spend, Fyle and Navan Expense bill only the people active in a month. SAP Concur Expense bills per expense report with unlimited users. Ramp Free and Brex Essentials bill nobody. For budget alerts alone, SpendNotify charges a flat monthly price for the whole company.

Are Rippling Spend management reviews good?

Mostly, yes. Reviewers praise the policy enforcement and the way approvals use employee data. The complaints that repeat are about price, which is not published, and about fit for very small companies. Rippling's own review of the product concedes fewer export options than standalone tools and no round-the-clock phone support.
