Rippling Spend management pricing and Rippling expense management cost by headcount

Rippling's pricing page asks you to request a quote. Its own blog prints the rates: $14 per employee a month for expenses and $8 for cards. Multiply by your real headcount before the sales call, not after.

Card limits in any expense platform stop one card from overspending. They do not tell a department head that twelve cards together have used 80 percent of the month by the 14th. Pick a budget and thresholds, replay a month of spend, and watch when the alert fires. Runs in your browser, nothing is uploaded.

Short answer

How much does Rippling Spend cost?

Rippling's pricing page shows no price for Spend. Its own blog does: $14 per employee per month for expense management, $8 per employee per month for corporate cards, $8 for payroll and a flat $35 a month for the HR platform. A 50 person company pays $700 a month for expenses alone and $1,535 a month, or $18,420 a year, with all four. Your quote can differ, so use these as the opening figures.

What Rippling itself has published

Rippling expense management pricing, module by module

Rippling calls this a modular pricing model. The rates below come from its own review of Rippling Spend, published October 29, 2025 and read on October 13, 2026. The pricing page itself only offers a quote form.

Swipe the table sideways to compare all columns.

Module Rippling's stated rate What to know before you add it
Expense management $14 per employee a month Receipts, policy rules, approvals and reimbursement. Rippling says it works as a standalone product. Syncs to QuickBooks Online, Xero, NetSuite and Sage Intacct.
HR platform (HRIS) $35 a month, flat Optional, but Rippling recommends it, because approval chains and card limits read each person's role, department and level from it.
Payroll + $8 per employee a month Puts approved expenses on the next pay run, with off-cycle runs for urgent ones. Without it, reimbursement goes by direct deposit.
Corporate cards + $8 per employee a month Physical and virtual Visa cards with policy blocking at the point of purchase. The same article's comparison table lists cards as included, so confirm which one your quote uses.

One thing in Rippling's table needs correcting before it goes into a budget. Its last column is headed "Total PEPM" and shows $49 for expenses plus the HR platform, $57 with payroll and $65 with cards. Those totals add the flat $35 monthly fee to the per-employee fees as if both were charged per head. They are not. $35 is paid once a month by the whole company, so $49 per employee is only true for a company of one.

At 50 employees the real figure for expenses plus the HR platform is $735 a month, which is $14.70 per employee, not $49. With payroll and cards added it is $30.70 per employee, not $65. The table in the next section does that multiplication for four company sizes.

Third-party estimates run wider. Vendr's buyer data puts 10 to 50 person companies at roughly $15 to $35 per employee per month for the platform plus two to four modules, with an implementation fee of $2,000 to $5,000 on top. That range is consistent with the rates above once you add modules beyond Spend.

The multiplication nobody publishes

What Rippling Spend costs at 25, 50, 100 and 250 employees

Built from Rippling's own rates, billed on every employee. Expenses alone run $4,200 a year at 25 people and $42,000 a year at 250. The full set of expenses, HR platform, payroll and cards runs $9,420 a year at 25 people and $90,420 at 250.

The step that surprises people is cards. Ramp and Brex give the card and its software away and earn on interchange. Rippling's blog prices cards at $8 per employee a month, which at 100 people is $9,600 a year for something two competitors charge nothing for.

These are list rates before any discount, and before implementation. A multi-year term or a bundle with payroll usually moves them, so treat the table as the number to negotiate down from.

Yearly cost at Rippling's published rates

Employees Expenses only Plus cards All four
25 $4,200 $6,600 $9,420
50 $8,400 $13,200 $18,420
100 $16,800 $26,400 $36,420
250 $42,000 $66,000 $90,420

Expenses only is $14 per employee a month. Plus cards is $22. All four is $30 per employee plus the flat $35 a month. Our arithmetic on Rippling's stated rates, before discounts and implementation.

The question that moves the bill most

Does Rippling charge per employee or per active user?

Rippling quotes every price per employee per month, and its pricing FAQ says most products are billed that way. It does not say publicly whether Spend counts everyone on the roster or only the people who file an expense or carry a card. Get the answer in writing, because it changes the bill more than any discount.

Take a 50 person company where 20 people ever spend company money. Billed on headcount, expense management is $700 a month. Billed on those 20, it is $280. Over a three-year term that gap is $15,120, for the same software and the same 20 users.

Most expense tools have moved the other way. Emburse Spend, Fyle and Navan Expense bill only the people who are active in a given month, and Expensify Control bills active members. If your spenders are a minority of the roster, a headcount meter is the most expensive way to buy this category.

01

Ask who is counted

Every employee in the HR record, every person with a Spend seat, or only people active that month. Have the definition written into the order form.

02

Ask when it is re-counted

Monthly re-counts mean every hire raises the bill the month they start. An annual true-up means one larger adjustment at renewal.

03

Ask about contractors

Rippling reimburses contractors too. Find out whether a contractor who files two expenses a year is billed for twelve months.

The card behind the software

Rippling corporate card terms that affect the price

Read from Rippling's corporate card page on October 13, 2026. None of this appears on a quote, and all of it affects cash.

Issuer and network

Issued by Fifth Third Bank or Celtic Bank on Visa, subject to approval. Works with Apple Pay and Google Pay.

Fees on the card

No annual fee and no interest on qualifying US dollar purchases with US merchants. Foreign transactions carry fees set in the card terms.

Who can apply

Registered entities with an EIN. Not sole proprietorships, and not restricted industries. No personal guarantee is asked for.

When you pay

Daily, weekly, every two weeks or monthly, pulled from your bank account. Rippling picks the term from your risk profile.

The payment term matters more than it looks. A company put on daily settlement gets no float at all, so the card behaves like a debit card with better controls. If you rely on 30 days of float from your current card, ask which term you would be given before you compare prices. The same question applies to Ramp and Brex, and our Ramp vs Brex comparison covers how each one underwrites.

Same company, every meter

Already on Rippling payroll

Spend is at its best here. Limits and approvers change the day someone is promoted or moves team, with nothing to re-key. That is where Rippling beats every row above.

What a per-employee platform still leaves open

The budget question Rippling Spend answers after the fact

Rippling is strong at the single transaction. A purchase that breaks policy is blocked at the terminal, and an expense above a threshold goes to the right approver because Rippling knows the org chart. Its department dashboard shows total spend and remaining budget for anyone who opens it.

What most teams still miss is the warning that arrives before anyone opens a dashboard. Every charge is in policy, every card is under its limit, and the department is still going to finish the month 15 percent over because twelve in-policy cards add up. That is a pace problem, not a policy problem, and it is the one that produces the awkward month-end conversation.

01

Budget on pace to overshoot

A department at 60 percent on the 10th, projected forward, sent to the person who owns the budget.

02

Renewal at a higher price

A subscription that comes back above last time's amount, flagged while there is still time to dispute it.

03

New recurring merchant

The first charge from a vendor nobody approved, on any card, the day it posts.

Where SpendNotify fits, and where it does not

SpendNotify issues no cards, reimburses nobody and runs no payroll, so it does not replace Rippling Spend. It takes in the charges from the cards and bank accounts you already use (forwarded bank transaction emails, an iPhone Shortcut for Apple Pay, or a CSV, OFX or QFX statement) and alerts the budget owner by email, Slack or webhook when one of the three things above happens. Plans are flat per month, from $199, or $99 a month billed yearly, and the price does not change when you hire. It works next to Rippling, and it works for the company that decided $14 per employee was too much for alerts alone. How the alerts work is on budget alerts, and the plans are on pricing.

Before you sign

How to get a better Rippling Spend quote in four steps

01

Count spenders, not staff

Pull twelve months of expense reports and card statements and count the distinct people. That is the number to argue the meter with.

02

Quote each module alone

Ask for expenses, cards, bill pay and travel as separate lines. A bundle discount is only a discount if you wanted every line.

03

Bring a free-tier quote

Ramp Free and Brex Essentials are $0. Put that on the table when the card add-on comes up, and ask for cards to be included.

04

Cap the renewal

Per-employee pricing rises with hiring already. Ask for the rate itself to be fixed or capped for the second and third year.

Questions buyers ask

Rippling Spend management pricing, answered

Can you use Rippling Spend without Rippling payroll?

Yes. Rippling says Spend works as a standalone expense management solution and that the HR platform is technically optional. Without payroll, reimbursements go out by direct deposit instead of the next pay run, and the role and department data that drives approvals has to be kept up to date in Rippling by hand or synced from your HR system.

Is the Rippling corporate card free?

The card has no annual fee and no interest on qualifying US dollar purchases with US merchants, and foreign transactions carry fees. The software is a separate matter. Rippling's blog prices corporate cards at $8 per employee per month in one table and lists them as included in another, so ask which applies to your quote.

Who issues the Rippling corporate card?

Rippling states that the card is issued by Fifth Third Bank or Celtic Bank on the Visa network, subject to approval. It needs an EIN, is not open to sole proprietorships and asks for no personal guarantee. The balance is pulled from your bank account daily, weekly, every two weeks or monthly, depending on how Rippling rates your risk.

How does Rippling expense management pricing compare with Ramp?

Ramp's free tier costs $0 and its Plus plan is $15 per user a month plus a platform fee, but both need you to move card spend to Ramp. Rippling's expense module is $14 per employee and works with cards you already have. At 50 people that is $8,400 a year for Rippling against $0 or about $9,000 plus the fee for Ramp. The details are on our Ramp pricing page.

Is Rippling expense management worth it?

It is worth it when you already run Rippling for HR or payroll, because approval rules and card limits follow each person's role and department with no upkeep. If you do not, $14 per employee is above Expensify Collect at $5, Emburse Spend at $8 to $12 and Brex Premium at $12, and Ramp and Brex both have a $0 tier. Rippling's own review also lists fewer export options than standalone tools and no round-the-clock phone support.

How many countries does Rippling reimburse in?

Rippling's product page says more than 100 countries and its blog says more than 185, with payment in the employee's local currency. Either figure is well beyond what a US-only tool covers. If international reimbursement is the reason you are looking at Rippling, ask for the current country list and the FX margin, since neither is published.

Can SpendNotify replace Rippling Spend?

No. SpendNotify does not issue cards, reimburse employees or run payroll. It reads the charges from the cards and bank accounts you already have and alerts the budget owner when a budget is on pace to overshoot, when a subscription renews at a higher price or when a new recurring charge appears. Plans are flat per month, not per employee.
