What are the best Navan alternatives?

It depends on which half of Navan you are replacing. For booking on the same commission-funded model, Engine is the closest match at $0. For cards and expense with no per-user fee, Ramp Free, Brex Essentials and BILL Spend & Expense all publish $0 per user per month. For expense-led teams, Expensify is $5 per member per month on Collect and Zoho Expense is $3 per user per month on annual billing. For enterprise travel with negotiated content, SAP Concur and Amex GBT are the incumbents, and neither publishes a price. The one alternative that is not free in the way people assume is Perk, formerly TravelPerk, which adds a percentage of every booking.

Navan costs nothing because travel providers pay it a commission. Ramp and Brex cost nothing because they earn interchange on the card. Perk Starter costs nothing per month and then takes 5% of what you book. Those are three different businesses, and only the third one grows with you.

The number that changes the answer

A percentage of bookings is not a free plan

This is the one piece of arithmetic that decides whether leaving Navan costs you anything. Navan and Engine charge nothing at any volume. Perk Starter charges nothing per month and then 5% of what you book. Here is what that difference is worth across a year of travel.

If you do move to Perk, the plan choice matters more than the plan names suggest. Starter is $0 plus 5% and Premium is $99 plus 3%, so the spread between them is two points. Two percent of monthly bookings passes $99 at $4,950 of bookings a month. Below that, Starter is cheaper. Above it, the plan with the monthly fee is cheaper, and the gap widens fast: at $25,000 a month Starter costs $1,250 and Premium costs $849. The plan labeled free is sometimes the most expensive one on the page.

Two published thresholds, not two complaints

Most articles about leaving Navan lead with support times and hotel rates. In practice the trigger is usually arithmetic, and both numbers are printed on Navan's own pricing page.

The 300-employee cliff

Navan Business is the free plan and it is scoped to companies with 300 or fewer employees. Navan is explicit that those companies have no limit on how many trips they book. Cross 300 and you are in Navan Enterprise, which is quote only. Nothing about your travel program changed on the day you hired employee number 301, but your pricing conversation did. That is the moment most finance teams first open a comparison page.

The sixth expense user

Navan Expense is free for the first 5 users and $15 per user per month after that. Navan defines an active expense user as anyone who submits a transaction, by manual entry or through Navan Connect. So the meter counts submitters, and it starts on the sixth one. A 40-person company where 35 people submit expenses is looking at $525 a month for the expense half alone, which is where Ramp Free, Brex Essentials and BILL Spend & Expense at $0 start to look interesting.

Both thresholds have the same shape as the other floors in this category: Emburse bills a minimum of 15 users whether you have them or not, Zoho's free tier stops at 3 users, and Expensify's Collect plan connects exactly one card feed. Vendors rarely raise a rate. They put a step in the pricing and wait for you to walk into it. Working out which step you are about to hit is most of the work in choosing a replacement, and it is the part a feature comparison will never show you.

You are now buying enterprise travel either way. Get quotes from Navan Enterprise, SAP Concur and Amex GBT together, and note that Amex GBT completed its acquisition of CWT in September 2025, so CWT and Egencia are no longer independent options. Several 2026 roundups still list them as though they were.

The expense meter started

Ramp Free, Brex Essentials and BILL Spend & Expense are all $0 per user per month and all include card issuing. If you want to keep booking in Navan, you can: the expense half is the part that meters, and it can be replaced on its own.

You want one platform, not two

You need negotiated hotel content

A commission-funded platform is not the place to load your own negotiated rates at scale. This is the strongest honest argument for a traditional travel management company, and it comes with published booking fees of roughly $5 to $50 per booking.

Hotels only, minimal program

Engine is $0, hotel-led, and describes itself as "not a free trial, actually free". If your travel is mostly rooms rather than multi-leg itineraries, it replaces the part of Navan you were using without replacing the part you were not.

You are SAP-anchored

The honest part

What you give up by leaving Navan

Comparison pages written by competitors skip this section, so here it is. Navan's booking experience and its inventory are genuinely strong, and the commission model means that strength costs you nothing at all below 300 employees. A card-led platform that "also does travel" is usually a thinner booking tool wrapped around a spend product, and travelers notice. If your people book their own trips and your policy is enforced at the point of booking rather than at the point of reimbursement, moving to a cards-first platform can quietly shift work back onto finance.

There is also a migration cost nobody quotes. Card feeds move at the card issuer's pace, not the software vendor's, and in practice they are the longest single step in any expense platform change. No expense platform publishes a migration service level, so treat every timeline in a sales deck as an estimate and plan a full parallel month-end close before you switch off the old system. Why do companies switch away from Navan?

The two most common triggers are published thresholds rather than complaints. Crossing 300 employees moves you off the free Navan Business plan into quote-only Navan Enterprise, and adding a sixth expense user starts a $15 per user per month meter. After that the usual reasons are wanting one platform for cards, bills and expense instead of two, or needing negotiated hotel content that a commission-funded platform does not carry.

Is TravelPerk a good Navan alternative for a US company?

For booking, yes, with a cost caveat. Perk, formerly TravelPerk, charges $0 per month plus 5% of booking value on Starter, $99 plus 3% on Premium and $299 plus 3% on Pro. That percentage replaces Navan's $0. For spend and expense the answer is weaker in the US: Perk's own pricing page lists the combined travel and spend plans for Europe and points North American buyers to expense-management integrations instead.

Can I replace only the expense half of Navan?

Yes, and it is often the cheaper move. The two products are priced separately, so a company that likes the booking experience but has crossed the fifth expense user can keep Navan Travel at $0 and move expense to a platform that charges nothing per user. The cost is running two systems and reconciling between them, which is worth doing the arithmetic on before you commit.
