Procurify pricing and Procurify cost, what a mid-market team pays per Pro user

Procurify publishes no rate card. The quote is built on how many people approve and buy, not how many request. Here is how that meter works, what real contracts cost, and what the same money buys from vendors that do publish.

Short answer

How much does Procurify cost?

Procurify does not publish prices. Every quote is custom, built from a platform fee plus the number of Pro users (approvers, buyers, AP and admins), the products you add and your integrations. Vendr's contract data puts the median at $15,000 a year, in a range of roughly $4,210 to $40,000. Requesters cost nothing, because Basic users are unlimited.

How the quote is built

Four things set a Procurify quote

Procurify's own pricing page names the inputs. Vendr's contract records show how they land on an invoice: a platform fee plus per-seat Pro user licenses, paid annually.

01

Purchasing, the base

Every customer starts here. Requests, catalogs, vendors, POs, approval routing, budgets, spend insights, integrations and the mobile app.

02

Pro users

The seat that is priced. Anyone who approves, buys, pays bills or administers. Requesters and receivers stay free.

03

Extra products

Accounts Payable (bills and payments) and Expense and Card (spending cards and expenses) are each separate products.

04

Add-ons and integrations

Guided Intake and Contracts are priced on top, and the ERP you connect is part of the scope.

The practical upshot is that two companies with the same headcount can get very different quotes. A 300-person distributor with 8 approvers and one buyer on Purchasing alone sits near the bottom of Vendr's range. The same company adding AP, cards and Contracts, with 30 Pro users across three entities, can land past the median. Procurify also says plainly, on its own blog, that it does not publish standard rates, starting prices or estimated ranges, so any "starts at" figure you see on a review site is somebody's guess.

What is a Pro user in Procurify?

A Pro user is anyone given role-based permissions beyond requesting and receiving: approvers, purchasers, AP clerks and administrators. Pro users set the price. Basic users, who can only submit order requests and receive items, are unlimited, so rolling Procurify out to every employee does not change the quote.

That is the most buyer-friendly part of the model, and it is not how every competitor counts. The mistake to avoid is making department heads approvers by default. Each one becomes a paid seat. Route approvals by amount instead, so a $400 request stops at the manager and only a $10,000 one reaches the VP, and the Pro user count often shrinks before you sign.

Procurify cost against published rivals, for a 150-person company

One company, 12 approvers and buyers, 60 employees who raise requests. Prices are read from each vendor's pricing page on September 29, 2026, billed annually. Procurify's column uses Vendr's contract data because Procurify publishes none.

Swipe the table sideways to compare all columns.

Vendor Published price Year one for this company Who counts as a paid user
Procurify None. Custom quote. Median contract $15,000 (Vendr range $4,210 to $40,000) Only the 12 Pro users. The 60 requesters are unlimited Basic users and cost nothing.
ProcureDesk Startup $830 a month, 10 users, $20 per extra user a month $10,440 if only approvers count, $24,840 if all 72 people do Users, with unlimited requisitioners listed only on Enterprise. Ask whether a requester is a user on Startup and Growth.
ProcureDesk Growth $1,250 a month, 20 users, $20 per extra user a month $15,000 with 12 users, $27,480 at 72 Same question. Growth is where NetSuite, Intacct, SSO and multi-entity live.
Precoro Core From $499 a month From $5,988 No per-user unit on the page. Real-time budget tracking is not on Core.
Precoro Automation From $999 a month From $11,988 Adds real-time budget tracking, AP automation and intake. User limits quoted.
Spendwise Pro $19 per user a month, 5 to 50 users $2,736 for 12 users. 72 users exceeds the plan cap. Every user, up to 50. Above that you are on a custom Enterprise quote.

Many requesters, few approvers

Procurify's model wins. You pay for 12 seats and let 200 people raise requests, which is the whole point of a procurement rollout.

Small team, simple approvals

A published per-user or flat rate is usually cheaper. Precoro Core or Spendwise can come in well under $6,000 a year.

Quoted near $15,000

That is exactly ProcureDesk Growth with 20 users. Bring that page to the negotiation. It is the cleanest anchor you have.

What a purchasing budget does not see

Does Procurify send budget alerts?

Procurify tracks budgets well inside its own workflow. Each budget shows what is committed, approved, purchased and billed, and an approver sees the budget impact of a request before signing it. There is also a budget overage setting that decides whether an over-budget request can still be approved. What we could not find in Procurify's documentation is an alert that fires at a set percentage, say 80 percent, as a department approaches its limit.

The bigger gap is scope. A purchasing budget only counts spend that went through a purchase request. The software subscription that renews on a card, the conference booked on an employee's personal card and reimbursed, the ad account billing daily: none of it touches a PO, and all of it lands on the same department budget line in your GL.

01

Card spend outside a PO

Unless you also buy Expense and Card, card swipes never enter the Procurify budget.

02

Recurring bills

Subscriptions and utilities raised once and billed monthly are easy to leave out of the request flow.

03

Pace, not position

A budget at 55 percent on the 9th is a problem. A consumption bar does not say so. A trend projection does.

Where SpendNotify fits, and where it does not

SpendNotify does not create purchase orders, route approvals or pay vendors, so it will not replace Procurify. It connects read-only to the cards and bank accounts you already use, projects each department's month against its budget, and alerts the budget owner by email, SMS or Slack the day a team is on pace to overshoot, PO or no PO. How the projection works is on budget alerts, and the plans are on pricing.

Before you sign

How to get a lower Procurify quote in four steps

01

Draw the approval map

List every approver, buyer and AP person. Collapse approvers with amount thresholds.

02

Buy Purchasing first

AP and cards can follow at renewal, when you know your volume. Adding later is allowed.

03

Bring two public prices

ProcureDesk Growth at $15,000 and Precoro Automation from $11,988 are real, published anchors.

04

Fix the renewal terms

Ask for a renewal cap in writing and the price of one extra Pro user, before seat creep sets in.

Questions buyers ask

Procurify pricing, answered

Does Procurify have a free trial or free plan?

No. Capterra lists Procurify with no free trial and no free version, and Procurify offers a demo followed by a custom quote. Contracts are annual, with net 30 terms according to Vendr.

Is Procurify cheaper than Coupa?

Usually by a wide margin. Vendr reports a median Procurify contract of $15,000 a year against $94,519 for Coupa. Coupa is built for enterprises with global sourcing and supplier networks. Procurify is built for mid-market teams that mainly need requests, approvals, POs and budgets.

What is included in Procurify Purchasing?

Order requests, product catalogs, vendors, purchase orders, approval routing, budgets, spend insights, account codes, user roles and permissions, accounting integrations and the mobile app, plus MFA, SSO and SOC 2 Type 2. Accounts Payable and Expense and Card are separate products.

Why does Procurify not publish prices?

Its position is that every quote depends on products, add-ons, users and integrations. The buyer's consequence is that you negotiate blind unless you bring outside data, which is why Vendr's median and competitors' published rates are worth having in hand before the second call.

Who owns Procurify?

Procurify is an independent, venture-backed company founded in 2013 and based in Vancouver. BetaKit reported a $50 million USD Series C led by Ten Coves Capital in October 2023. It has not been acquired, unlike Airbase, which Paylocity bought in 2024.

Can SpendNotify replace Procurify?

No. SpendNotify does not create purchase orders or route approvals. It connects read-only to your cards and bank accounts and alerts each budget owner when a department is trending over its monthly budget, including spend that never went through a purchase order.
