For companies running Workday

Workday Expense Management Alternatives and Pricing

Workday Expenses keeps reports and postings in your ledger, but Workday publishes no price for it. Here is what to ask Workday, what Ramp, Expensify and Concur cost for the same 30 filers, and how to keep department budgets from drifting while you decide.

Picking an expense route does not tell a budget owner they are heading over. Pick a budget and thresholds, replay a month of card spend, and watch when the alert fires. It runs in your browser and nothing is uploaded.

Short answer

Does Workday have expense management?

Yes. Workday Expenses sits inside its financial management suite, so reports, approvals and postings share one ledger with the rest of your finance data. The price is quote only. That makes the real comparison a trade between fewer systems and the extras an outside platform brings, such as virtual cards, live card controls and faster receipt capture.

If your ERP is Oracle, the same trade is laid out on our NetSuite expense management comparison.

Native or outside tool

Workday Expenses or an outside expense platform

Stay inside Workday

One system of record means no sync to monitor and one audit trail. It suits a finance team that wants expense postings to follow the same approval rules as everything else. Ask for a price on your 30 filers, ask what receipt capture and card feeds are included, and ask how a corporate card statement reaches the report.

Add Ramp, Expensify or Concur

An outside tool earns its place when employees live on cards, when travel booking matters, or when you want limits enforced at the card. Ramp documents a Workday Financial Management integration, available on its Enterprise plan per its support page. Check the plan before you count the sync as free. Compare per-user cost on Ramp pricing, Expensify pricing and SAP Concur pricing.

Questions to take into the demo

Six questions that settle the quote

Ask each vendor, Workday included, to answer the same six things in writing. It turns a vague quote into a comparable one.

  1. What is the yearly cost for 30 monthly filers, and what does it become at 60?
  2. Is the Workday connection included in the plan you quoted, or only in a higher one?
  3. Which objects post to the ledger: expense lines, card transactions, cost centers, worktags?
  4. Who is billed when an employee files nothing in a month?
  5. How does a card statement line become an expense line, and who matches the receipt?
  6. What happens to a report approved after the pay run closes?

The meter is usually where quotes diverge. Our spend management software cost breakdown shows how per-user, per-active-user and card-interchange models change the same headcount's bill.

Where SpendNotify fits

Keep the expense tool, add budget alerts

An expense module records what was spent. It rarely tells the marketing lead on the 12th that the month is heading 30 percent over. SpendNotify does that on the cards you already hold.

What SpendNotify does and does not do

SpendNotify does not run reimbursements or connect to Workday, and has no relationship with Workday or any vendor named here. It takes in charges through forwarded bank transaction emails, an iPhone Shortcut for Apple Pay, or a CSV, OFX or QFX statement.

It alerts the budget owner by email, Slack or webhook when a department budget is on pace to overshoot, a subscription renews at a higher price, or a new recurring merchant appears. Plans are flat per month from $199, or $99 a month billed yearly. See budget alerts and pricing.

Questions buyers ask

Workday expense management, answered

Does Workday have expense management?

Yes. Workday offers an Expenses capability inside its financial management suite, where employees submit expense reports and managers approve them against the same ledger. Workday does not publish a price for it, so expect a quote tied to your headcount and modules. Many Workday companies still add a card platform for virtual cards, receipt capture and live card controls.

How much does Workday expense management cost?

Workday does not publish Expenses pricing and G2 lists none, so you need a quote. As a yardstick, 30 monthly filers cost $1,800 a year on Expensify Collect at $5 each or from $2,520 on Concur Base. Ask Workday for the same 30 filers so the two numbers sit side by side.

Does Ramp integrate with Workday?

Yes. Ramp documents a Workday Financial Management integration, and its support page says it is available on the Ramp Enterprise plan. Confirm which Ramp plan you would be on before you count the sync as included, and ask for the exact objects it posts to your Workday ledger.

What is the difference between Workday expense management and Concur?

Workday Expenses lives in your system of record, so approvals and postings stay in one ledger. SAP Concur is a separate expense and travel product with its own booking tool and per-user pricing, and it needs an integration to reach Workday. Choose Workday for fewer systems and Concur when travel booking drives the decision.

Can SpendNotify replace Workday expense management?

No. SpendNotify does not reimburse employees or connect to Workday. It takes charges from the cards and bank accounts you already use and alerts the budget owner when a department is on pace to overspend. Use it beside whichever expense route you choose.
