Paycor expense management and Paycor expense reimbursement after the Paychex deal, priced against five alternatives

Paycor expense management repays employees inside Paycor payroll and has no published price. Since Paychex bought Paycor, renewal is the moment to get the module's price and future in writing. Compare that quote with about $1,800 a year for Expensify Collect at 30 filers, or $0 card platforms if you move card spend.

Start with the renewal after the Paychex acquisition

Paychex completed its acquisition of Paycor on April 14, 2025, at about $4.1 billion in enterprise value, paying $22.50 per share in cash. For a controller choosing an expense tool this quarter, the practical consequence is vendor ownership. Paycor customers now buy from Paychex. The deal alone does not answer what your next expense module quote includes.

Ask whether the module, its pricing and its roadmap carry over at renewal. Request written answers about contract scope, support responsibility and how pending reimbursements would be handled during a change. Our Paychex expense management article covers the buyer's view from that side.

After an acquisition-driven renewal, many midsize companies have nobody in-house with time to run a vendor selection, so a fractional controller can help turn the quote, payment workflow and accounting requirements into a decision. Give whoever owns the review a sample report and payroll cutoff before scheduling demos.

Follow a report through the system

What a Paycor expense report does before payday

Paycor launched the product on May 3, 2022. Its launch release describes a workflow from employee submission to manager approval and payroll reimbursement. Use that documented scope as a demo checklist.

Capture and submit

Employees photograph receipts and save them to a report or a gallery for later. They can submit from a phone or computer.

Apply policy before approval

Leaders set daily meal limits and receipt requirements. Potential violations trigger warnings before submission, with out-of-policy line items highlighted in real time.

Maintain the rules

Admins create, edit and remove expense categories. Different rules can apply to categories or specific users, so test the exceptions your policy actually needs.

Approve and account

Managers approve expenses and payroll staff reimburse them inside Paycor. Reports group by category and user, and an exportable GL report downloads for accounting systems.

The release mentions no corporate card feature and gives no price. That limits what it establishes, so ask for current documentation on anything beyond this workflow. Do not budget for an assumed card feed or treat a GL download as proof of a live accounting connection.

Price five alternatives against the module quote

Assume 50 employees, with 30 filers submitting one report each month. These are subscription comparisons, excluding Paycor payroll fees. Payment arrangements need their own confirmation, especially when a tool sits outside payroll. The Paycor module remains quote-only.

Swipe the table sideways to compare all columns.

Tool Price meter Yearly at 30 filers Who repays the employee Paycor link
Expensify Collect $5 per member a month About $1,800 Confirm whether Expensify or your employer sends payment No documented connector found in our check; ask
SAP Concur Base From $7 per report About $2,520 Confirm the payment service or employer payment process Ask for Paycor-specific documentation
Fyle Growth $11.99 per active user a month, billed yearly About $4,316 Confirm who funds and sends the reimbursement Ask for Paycor-specific documentation
Ramp base tier $0 base tier $0 if card spend moves Confirm payer; HRIS listing does not establish payroll repayment Listed HRIS connection, no paid Ramp plan required
Brex Essentials $0 $0 if card spend moves Confirm payer separately from HRIS access controls No Paycor-specific listing found in our check

Expensify's member meter and Fyle's active-user meter depend on who gets billed. Concur's report meter changes when report frequency changes. Confirm those definitions against your roster. Review the details on Expensify pricing, SAP Concur pricing and Ramp pricing before accepting a comparison based on subscription alone.

Ask Paycor to separate the expense module charge from payroll and explain its billing unit. Then compare the quote with the work each option leaves behind, including approvals, payment funding and GL posting. A lower subscription can still require someone to maintain a separate reimbursement process.

Check what a Paycor integration actually transfers

Ramp lists a one-click Paycor HRIS connection that updates access as headcount changes, with no paid Ramp plan required. It does not state that reimbursements go back to Paycor payroll. Brex describes general HRIS account creation for employees and card locks when someone leaves the HR system; we found no Paycor-specific Brex listing.

We found no documented Paycor connector for Expensify or Emburse in our check. Ask each vendor to show the fields transferred, direction of transfer and payment owner. Larger HR suites differ, so compare UKG expense management, Paylocity and ADP on their own documentation. Our Paycom expense management comparison addresses another payroll-based buying decision, and a PEO changes it again, because TriNet expense management comes included with the TriNet PEO subscription.

Test the cutoff and the non-taxable earning

Paycor expense reimbursement goes through payroll, so a report approved after cutoff waits one cycle. Test that timing with payroll staff before promising employees a payment date. Have the demo follow a late approval through to the next payroll run and the GL export.

Under an accountable plan, reimbursements are not wages when there is a business purpose, receipts arrive within a reasonable time and excess advances are returned. The Paycor earning must be non-taxable. Check that configuration alongside the expense policy; manager approval alone does not establish the tax treatment.

Choose after a complete dry run

Favor the Paycor module when keeping approval and reimbursement inside payroll saves your team enough work to justify the quote. Ask payroll staff to run a receipt through the policy warning, manager approval, payment and accounting export. Include an exception that applies to a particular user or category, so the demo tests your policy rather than only a compliant meal receipt.

Favor a standalone shortlist when the module quote is hard to justify or you are ready to move card spend. First establish who repays employees and how accounting receives the result. Have the vendor show what happens when the employee roster changes, an approval misses cutoff or a payment needs investigation. A claim that the systems integrate should lead to a demonstrated workflow.

For a controller, payroll lead or CFO at a 50 to 1,000 person company, the decision should fit the team available this quarter. Record who owns policy changes, employee questions and reconciliation after launch. Keep the written renewal answers beside the demo notes, and choose the option whose price and operating responsibilities you can explain to the people who will run it.

Keep budget oversight in the decision

SpendNotify covers the budget warning

SpendNotify reads charges from the cards and bank accounts you already use. It alerts the budget owner when a department is on pace to overshoot, a subscription renews higher or a new recurring merchant appears. See budget alerts for that workflow.

It does not reimburse anyone, run payroll or connect to Paycor, and has no relationship with Paycor or Paychex. Flat plans start at $199 a month or $99 a month billed yearly. Keep this cost separate from whichever reimbursement tool you choose.

Questions buyers ask

Paycor expense management questions

Does Paycor have expense management?

Yes. Paycor launched expense management on May 3, 2022. Employees submit receipts from a phone or computer, managers approve reports, and payroll staff reimburse expenses inside Paycor. The launch release describes meal limits, receipt requirements, policy warnings, editable expense categories and an exportable general ledger report, but gives no module price.

How much does Paycor expense management cost?

Paycor has no published expense management price. Request a written module quote and renewal terms. For comparison, 30 filers submitting monthly cost about $1,800 a year on Expensify Collect, $2,520 on SAP Concur Base and $4,316 on Fyle Growth. Ramp and Brex have $0 entry tiers if card spend moves to them.

How do Paycor expense reimbursements get paid?

Payroll staff pay approved reimbursements inside Paycor payroll. A report approved after the payroll cutoff waits one cycle. Under an accountable plan, reimbursement is not wages when expenses have a business purpose, receipts arrive within a reasonable time and excess advances are returned. The Paycor earning must therefore be configured as non-taxable.

Did Paychex buy Paycor?

Yes. Paychex completed its acquisition of Paycor on April 14, 2025, at about $4.1 billion in enterprise value and $22.50 per share in cash. Paycor customers now buy from Paychex. Ask in writing whether your expense module, its price and its roadmap carry over at renewal rather than assuming the acquisition settles those questions.

Does Ramp integrate with Paycor?

Yes. Ramp lists a Paycor HRIS integration with a one-click connection and access updates as headcount changes, without requiring a paid Ramp plan. That listing does not say approved reimbursements return to Paycor payroll. Ask for a demonstration of the payment route and accounting entries before treating the HRIS connection as a payroll reimbursement integration.

What are the alternatives to Paycor expense management?

Expensify Collect, SAP Concur Base, Fyle Growth, Ramp and Brex Essentials are alternatives to compare while keeping Paycor payroll. Their price meters differ, so use your actual filer and report counts. Check who sends reimbursements, whether card spend must move and what the Paycor connection actually transfers before comparing the subscription totals.
