How much does Zoho Expense cost?
Zoho Expense costs $0 on the Free plan for up to 3 users, $4 per user per month on Standard billed monthly or $3 billed annually, and $6 per user per month on Premium billed monthly or $5 billed annually. Anything larger or more complicated is a custom quote. Two published add-ons sit outside those rates: self-booking travel at $9.99 per trip, and Premium Support from $490 a year. Prices are exclusive of local taxes, and every paid plan starts with a 14-day trial that does not ask for a card. Most pages that quote Zoho Expense quote only the annual rate and present it as the price. Both numbers are below, because the gap between them is roughly a quarter of your bill and it only applies if you commit for a year up front.

Zoho advertises up to 25% off for annual billing. Note that several comparison sites still list a fourth named tier, an "Enterprise" plan at $8 per user per month. Zoho's own US pricing page does not show that tier today: it shows Free, Standard, Premium and an unpriced custom plan. Treat the $8 figure as a stale third-party number rather than a rate you can hold Zoho to.
The limit nobody reads
The receipt scan quota is the real tier gate
Buyers compare feature lists. What actually pushes teams up a tier is Autoscan, the AI receipt OCR included in every plan and metered per user per month. Free gets 20 scans, Standard 200, Premium 1,000. Past the quota you can still record expenses, just not have the software read them for you, which removes most of the reason you bought it.
20 scans is about a week
On the Free plan, a salesperson on the road burns through the allowance inside the first week of a normal month. The 3-user cap gets the headlines, but the scan quota is what people actually run into, and it arrives sooner.
200 covers almost everyone
Standard's 200 scans per user per month is well past what a typical employee files. Unless you have people submitting several receipts a day, the scan limit is not a reason to buy Premium. Travel booking and per diems are.
It resets, it does not roll over
The quota resets at the start of each billing cycle. Unused scans do not bank, so a quiet January buys you nothing in a heavy March. Size the tier on your busiest month, not your average one.
Check this before you sign
The overage rate in Zoho's own FAQ does not match its own plan card
Zoho Expense bills on licenses you purchase, but if more people are active in a given month than you have licenses for, the extras are charged at the monthly rate for that month. That part is reasonable and clearly stated. The number attached to it is where it gets strange.
What the page says
The worked example in Zoho's pricing FAQ describes a customer on Premium annual with 10 licenses and 15 active users in a month, and bills the 5 extra users at $9 each for a $45 invoice. The plan card higher up the same page lists Premium at $6 per user per month billed monthly. Those two numbers disagree by 50%.
What to do about it
Most likely the FAQ example was written against an older rate and never updated. It is still worth a written answer before you commit annually: ask sales to confirm, in the order form, the exact per-user rate applied to over-license activity, and whether it is the monthly list rate or something else. It is a small clause that only matters in the months you are busiest.
This is the same pattern worth checking anywhere you buy per seat. Usage meters and license counts drift apart quietly, and you find out in the invoice. Navan has a version of it too, where the charge is per active filer rather than per seat, covered in the Navan pricing breakdown.

Zoho's own annual rates applied to four team sizes. These are arithmetic on the published price, not quotes we have seen, and they exclude local taxes and any add-on.

Now put the add-ons next to those numbers. Premium Support starts at $490 a year. On a 10-person Standard annual plan costing $360, paid support costs more than the software does. That ratio flips somewhere around 15 to 20 users, and it is the clearest signal that Zoho's pricing is built for volume rather than for small accounts that need attention.

On list price this is not close. Zoho Expense Standard is a fifth of Ramp Plus and well under half of Expensify Collect. What the cheap tiers do not include is a card program: Ramp, Brex and Navan issue cards and fund part of the product with interchange, which is why their software can look expensive and their cards can look free. Is Zoho Expense worth it? A short review
Price is the easy part of this decision. Here is what buyers consistently like and consistently complain about, and which of those you can live with.
Where it is genuinely strong
Receipt capture and mobile filing get consistent praise, project and customer level tracking is better than the price suggests, and the accounting integrations reach the tools US finance teams actually use, including QuickBooks Online, QuickBooks Desktop, Xero, NetSuite and Sage. If you already run other Zoho products, the Zoho Books link is the tightest integration on offer anywhere in this list.
Where buyers push back
The two recurring complaints in user reviews are reporting and support. Building the report you want is fiddlier than the demo suggests, and support response times draw criticism, which is presumably why a $490 support add-on exists. If a named contact and fast escalation matter to you, budget for that add-on rather than assuming it is included.
Watch the add-on line items
ERP and HRMS integrations are listed as an add-on on Standard, not an included feature. If your requirement is a NetSuite or Workday sync, get that priced before you compare tiers, because it can move Zoho from the cheapest option to a normal one.
Who should skip it
If your actual requirement is issuing cards with hard limits at the point of sale, Zoho Expense is the wrong shape and Ramp or Brex are the right category. Zoho manages the expense, it does not underwrite you a card program.

The hard limits are the 3-user cap and 20 receipt scans per user per month, so it fits a founder and a bookkeeper rather than a team.
What is the difference between Zoho Expense Standard and Premium?
Standard adds the things a company with corporate cards needs: card management, real-time card feeds, multiple expense policies, multi-level approval, ACH payments, direct reimbursements and SSO. Premium adds travel booking, an in-built travel desk, GSA-compliant automated per diem, live budget tracking, advanced approvals and multi-entity support. Premium is the travel and multi-entity tier.
Is Zoho Expense cheaper than Expensify?
Yes, and by a wide margin on published rates. Zoho Expense Standard is $3 per user per month billed annually against Expensify Collect at $5 per member per month, and Zoho Premium at $5 undercuts Expensify Control, which Expensify advertises as low as $9 and lists at a higher standard rate. Expensify counts active members, so a quiet month costs less there.
Does Zoho Expense integrate with QuickBooks?
Yes. Zoho Expense integrates with QuickBooks Online and QuickBooks Desktop, and accounting integrations are available from the Free plan up. Accounts, customers, classes and employees sync from QuickBooks into Zoho Expense, and approved reimbursable expenses export back as bills or journals while non-reimbursable expenses export as expenses. Xero, NetSuite and Sage integrations also exist.
How many users can use the free Zoho Expense plan?
The Zoho Expense Free plan is capped at 3 users. That is a hard cap on named users, not a monthly activity meter, so a fourth person joining the plan moves you to Standard. At $3 per user per month billed annually, a 4-person team on Standard costs $144 a year, which is why the free cap rarely becomes a real obstacle.
