Zoho Expense alternatives and competitors compared by what each one costs per user
Zoho Expense is $0 for up to 3 users, then $3 to $4 per user on Standard and $5 to $6 on Premium. Teams move when they pass the 3 user cap, run out of receipt scans or need deeper accounting and card controls. Expensify, Fyle, Ramp, Brex and SAP Concur each solve a different part of that.

Short answer
What is the best alternative to Zoho Expense?
If you need more users and better receipt capture, Expensify Collect at $5 per member is the closest step up. If many members file rarely, Fyle's active-user billing at $11.99 can cost less than a flat plan. Ramp and Brex list $0 per user but assume you move spend onto their card. SAP Concur suits strict audit chains at $7 per report. If your pain is budgets breaking, a new expense tool will not fix that.

Zoho Expense competitors compared on price, model and fit
Prices are the published US list prices as of this page's last check. Each tool has an honest win over Zoho and an honest cost, which the last two columns spell out.
Swipe the table sideways to compare all columns.
| Tool | Published price | Who it fits | Where it beats Zoho Expense | Where Zoho Expense wins |
|---|---|---|---|---|
| Zoho Expense | Free for 3 users. Standard $3 annual or $4 monthly, Premium $5 or $6 per user | Small teams already in Zoho Books or Zoho One | The baseline | Lowest list price, a real free tier, tight Zoho suite fit |
| Expensify | Collect $5 per member. Control $18 annual, or $9 with heavy Expensify Card use | Teams that live on receipt capture and reimbursements | Very fast mobile flow and no 3 user ceiling | Costs more per head for the same headcount |
| Fyle (Sage Expense Management) | $11.99 Growth and $14.99 Business per active user billed yearly. Minimum 5 or 10 users | 10 to 250 person companies on QuickBooks, Xero or Sage | Bills only people who file or hold an active card, deeper Sage and QuickBooks sync | Three to four times the price per user, with minimums |
| Ramp | Free $0 and Plus $15 per user, plus an unpublished platform fee tied to team size | Companies ready to move card spend to Ramp | Card controls and limits built in, no per-user cost on the base plan | Zoho does not require changing your card program |
| Brex | Essentials $0 and Premium $12 per user | Venture-backed and larger companies that qualify for Brex cards | Card, expense and travel in one product | Zoho has no card eligibility gate |
| SAP Concur | $7 per report on Base and $11 on Plus, Premium quoted | Companies with audit, VAT or multi-country approval chains | Deepest policy, audit and travel coverage | Far simpler setup and a flat per-user price |

The number that decides it
What it costs to leave Zoho Expense at 12 and at 40 people
Zoho Standard at 12 users is $36 a month billed annually. Expensify Collect for the same 12 members is $60. Fyle Growth with 7 active filers is $83.93 a month billed yearly, which is more than either. At this size the move only pays back if a limit in Zoho is costing you time, usually the scan quota or the 3 user ceiling on the free plan.
At 40 people the picture shifts. Zoho Standard is $120 a month, Collect is $200, and Fyle with 18 active filers is $215.82. Zoho is still cheapest, so the case for leaving is a feature case, not a price case. Count what a missed receipt, a manual accounting entry or a late reimbursement costs per month before you let list price decide.
Ramp and Brex look free until you count what moving the card program costs and whether your company qualifies. Read our Zoho Expense pricing breakdown for the Autoscan quotas and the overage rate before you compare quotes.
Choosing
The best Zoho Expense alternative in each situation
You passed the 3 user free cap
Stay on Zoho Standard at $3 per user if the rest works. Move only if a feature gap is the reason, since nothing else is cheaper on list price.
Your people mostly submit receipts
Expensify Collect at $5 per member. Read the Control rules before growing, because the cheap $9 rate depends on card usage.
You use QuickBooks, Xero or Sage heavily
Fyle, especially if few members file each month. Its active-user meter keeps the bill tied to real use.
You are ready to change cards
Ramp or Brex, if you qualify. You swap a software fee for card economics, so compare it with your current card rewards.
You need audit-grade approvals
SAP Concur. It costs more and takes longer to set up, and it is the safe pick for strict policy chains.
Zoho works but budgets still break
Stay on Zoho and add a budget alert layer. Switching expense tools does not tell you a department is overspending until the reports arrive.
Honest note
SpendNotify is not a Zoho Expense replacement
SpendNotify does not scan receipts, build expense reports or reimburse anyone. It takes in the charges from the cards and bank accounts you already use (forwarded bank transaction emails, an iPhone Shortcut for Apple Pay, or a CSV, OFX or QFX statement) and projects each department's spend against its monthly budget. When a team is on pace to overshoot, the budget owner gets an email, Slack or webhook alert that day. Every expense tool above reports after the fact, so the two work together. See budget alerts and pricing.
Questions buyers ask
Zoho Expense alternatives, answered
Why do companies leave Zoho Expense?
The usual triggers are the 3 user cap on the Free plan, the Autoscan quota (20 scans per user on Free, 200 on Standard), thinner accounting depth outside the Zoho suite, and wanting corporate cards or budget controls in the same product.
Is there a cheaper alternative to Zoho Expense?
Rarely on list price. Zoho Standard is $3 per user billed annually. Ramp and Brex list $0 on their base plans but expect card spend. Expensify Collect at $5 per member is the nearest paid alternative.
Who are Zoho Expense competitors?
Expensify, Fyle, SAP Concur, Emburse Certify and Rydoo compete on expense software that works with the cards you already hold. Ramp and Brex compete by bundling expense software with their own corporate card.
What do I lose by leaving Zoho Expense?
Mostly the price and the native tie to Zoho Books and Zoho One. Check that your accounting system has a native connection in the new tool before you sign.
Can SpendNotify replace Zoho Expense?
No. SpendNotify does not collect receipts or build expense reports. It watches card and bank charges against each department budget and alerts the owner the day a team is on pace to overshoot. Keep Zoho Expense or any tool here and add SpendNotify for the warning.
