Fyle alternatives and competitors compared by what each one costs per active user

Fyle is now Sage Expense Management at $11.99 to $14.99 per active user a month, with a 5 or 10 user minimum. Zoho Expense, Expensify, Ramp, Brex and SAP Concur each price differently, so the cheapest option depends on how many people actually file expenses and whether you will move your card program.

Short answer

What are the best Fyle alternatives?

Zoho Expense is the cheapest, at $3 to $4 per user on Standard. Expensify is the closest match on receipt capture for $5 per member on Collect. Ramp and Brex list $0 per user but assume you move spend onto their card. SAP Concur suits larger audit and approval needs at $7 per report. If you only need a better warning before budgets break, none of them is the fix and you keep Fyle.

The number that decides it

Why the cheapest price per user is rarely the cheapest bill

Fyle bills only active users, meaning someone who files at least one expense in the month or whose connected card has a transaction. For a 40-person company where 18 people file in a typical month, that is 18 users on Growth at $11.99, or $215.82 a month billed yearly. The same company on Expensify Collect pays for all 40 members at $5, or $200, and on Concur Base pays $7 for each of its reports.

So the answer flips with your pattern. A team where most people file something every month is cheaper on a flat per-member plan. A team where a handful of managers and a few cardholders do most of the filing is cheaper on an active-user plan. Ramp and Brex look free until you count what moving the card program costs you, and whether your company even qualifies for the card. Count last quarter's actual filers before you compare any two quotes.

The minimums matter at the bottom. Growth bills at least 5 users and Business at least 10, so a 6-person firm on Business pays for 10. Our Fyle pricing page works the minimums out in full.

Choosing

The best Fyle alternative in each situation

You want the lowest price per user

Zoho Expense, especially if your books are already in Zoho. Check the receipt scan quota before you commit, since that is the limit teams hit first.

Your people mostly submit receipts

Expensify Collect at $5 per member. Read the Control rules before growing, because the cheap $9 rate depends on card usage.

You are ready to change cards

Ramp or Brex, if you qualify. You swap a software fee for card economics, so compare it with your current card rewards.

You need audit-grade approvals

SAP Concur. It costs more and takes longer to set up, and it is the safe pick for strict policy chains.

Fyle works but budgets still break

Stay on Fyle and add a budget alert layer. Switching expense tools does not tell you a department is overspending until the reports arrive.

You run Sage Intacct

Fyle on Business is built for it. See our Sage Intacct expense software guide before moving.

Honest note

SpendNotify is not a Fyle replacement

SpendNotify does not scan receipts, build expense reports or reimburse anyone. It takes in the charges from the cards and bank accounts you already use (forwarded bank transaction emails, an iPhone Shortcut for Apple Pay, or a CSV, OFX or QFX statement) and projects each department's spend against its monthly budget. When a team is on pace to overshoot, the budget owner gets an email, Slack or webhook alert that day. Every expense tool above reports after the fact, so the two work together. See budget alerts and pricing.

Questions buyers ask

Fyle alternatives, answered

Who are Fyle competitors?

Expensify, Zoho Expense, SAP Concur, Emburse Certify and Rydoo compete on expense software that works with the cards you already hold. Ramp and Brex compete by bundling expense software with their own corporate card.

Is there a cheaper alternative to Fyle?

Yes. Zoho Expense lists $3 to $4 per user on Standard and $5 to $6 on Premium, and Expensify Collect is $5 per member. Ramp and Brex list $0 on their base plans but expect card spend. Fyle starts at $11.99 per active user billed yearly.

Is Fyle now Sage Expense Management?

Yes. Sage announced the Fyle acquisition on July 28, 2025, and the product now runs as Sage Expense Management. The Growth, Business and Enterprise plans and the active-user meter carried over.

What do I lose by leaving Fyle?

Mostly the active-user billing, which keeps the bill low when many members seldom file, and a direct path to Sage Intacct and Sage 300 CRE on Business. Check that your accounting system has a native connection in the new tool before you sign.

Can SpendNotify replace Fyle?

No. SpendNotify does not collect receipts or build expense reports. It watches card and bank charges against each department budget and alerts the owner the day a team is on pace to overshoot. Keep Fyle or any tool here and add SpendNotify for the warning.
