Keep HR records and expense payments connected
BambooHR Expense Management and BambooHR Expense Reimbursement with Ramp, Rydoo, ExpenseIn and Expensify
Your employee directory already knows who joined, who changed managers and who left. Your expense process needs those changes too. BambooHR has no native expense module, so the buying decision is which outside tool keeps the right people active, routes their reports and repays them. Start with the employee lifecycle, then follow the money.
SpendNotify adds budget alerts on existing cards and bank accounts alongside your expense tool.

Short answer
Does BambooHR have expense management?
No, BambooHR has no native expense management or expense reimbursement module, so companies using it add an outside expense tool. Ramp, Rydoo and ExpenseIn document employee connections, while Expensify connections use third-party automation. None of the reviewed sources confirms approved reimbursements returning to BambooHR Payroll as a non-taxable earning, so employee sync and repayment require separate checks.
Define the work before choosing the connector
BambooHR expenses live outside the HR plan
An HR add-on does not cover an expense report
BambooHR's pricing page lists Payroll for US employees, Benefits Administration for the US, Time & Attendance and Global Employment powered by Remote. It lists no expense management or reimbursement feature or add-on. The Payroll and Benefits Administration bundle has a 15% discount, but that offer does not add expense functionality.
On-Demand Pay is early access to earned wages. Repaying an employee who bought something for work is a different transaction. Ask a seller to identify the expense application and payment service separately from payroll. A proposal should say where employees submit receipts and where finance sees an approved obligation.
The report belongs to the outside tool
Searching for a BambooHR expense report can suggest a screen inside BambooHR. The documented connections instead move employee information into an expense application. Treat that application as the place to evaluate submission, approvals and repayment, and ask which information remains visible to HR after the connection is enabled.
This differs from the product choice described in our UKG expense management comparison. For BambooHR, establish the outside workflow first. Write down who owns employee data, who approves expenses and who authorizes payment before comparing integration badges.

Which tools receive BambooHR employee data
BambooHR's marketplace has a Travel & Expense Management category. Read each connector's direction and scope. The verified employee connections below do not establish a path for approved reimbursements back into BambooHR Payroll.

| Expense option | Documented BambooHR connection | Payroll reimbursement return | Published price basis |
|---|---|---|---|
| Ramp | Supported HRIS, one-click connection, automatic organizational updates when enabled | Not verified for BambooHR Payroll | Base $0. No paid Ramp plan required for the HRIS connection |
| Rydoo | BambooHR Marketplace listing, employee and organizational data imported into Rydoo | Not verified for BambooHR Payroll | Quote or check vendor page |
| ExpenseIn | Employee data and reporting lines imported to build approval flows | Not verified for BambooHR Payroll | Quote or check vendor page |
| Declaree / Mobilexpense | BambooHR employee sync listed | Not verified for BambooHR Payroll | Request a quote |
| Expensify | Third-party automation through Zapier, Zoho Flow, Integrately or Workativ. No first-party connector found | Member creation or updates do not establish payroll return | Collect $5 per member monthly |

Configure Ramp's automatic updates deliberately
Ramp puts setup under Company > Integrations > User management. With automatic updates on, location, department and manager relationships follow the HRIS. Ramp can also auto-invite employees. Confirm which changes your administrator enables and who reviews an unexpected reassignment before relying on those records for expense routing.
BambooHR using Brex is a customer story
Brex's case study says BambooHR the company moved to Brex corporate cards in 2021, then expense management and reimbursements. That describes BambooHR as a Brex customer, not a BambooHR product integration. No Brex BambooHR connector listing was verified. Keep the customer story separate from the connector evidence in your shortlist.
Trace an approved report to payment
BambooHR expense reimbursement needs a named payer
Identify the payment route
Most of these tools reimburse through their own ACH process. Ask which account funds repayment, who releases it and how the employee sees payment status. Approval and payment should have distinct evidence, so finance can find an unpaid report without treating every approved report as settled.
Request the exact payroll demonstration
If repayment must run through BambooHR Payroll, ask each vendor to show an approved reimbursement arriving as a non-taxable earning. None of the reviewed sources establishes this capability. Request the field mapping and exception handling, and identify any manual transfer rather than inferring payroll support from employee sync.
Preserve accountable plan evidence
An IRS accountable plan requires a business connection, substantiation within a reasonable time and return of excess amounts. Reimbursements meeting those conditions are non-taxable. The payment destination alone does not establish that treatment. Keep the supporting record attached to the process your finance team reviews.
Our expense reimbursement software comparison helps frame the payment questions, and the accountable plan guide explains the conditions. Ask your payroll reviewer to inspect the proposed earning treatment before using a payroll route. Keep the approval record and payment confirmation available for reconciliation.
Connector claims depend on the destination system. Compare Paylocity expense reimbursement routes, ADP expense connector coverage and Gusto expense reimbursement options if your team is comparing payroll platforms too. Require evidence specific to BambooHR for this purchase.
The departure test
What happens when someone leaves in BambooHR
Ask the vendor to walk through a departure in a test setup. Does the expense account deactivate, does card access stop, or does an administrator receive an alert? Those are different outcomes. A current employee list is useful evidence, but it does not prove every spending permission has been removed.
Ramp documents HRIS updates and alerts to turn off card access when someone is marked terminated. Its 2021 announcement describes that alert behavior. Confirm whether your configuration stops access automatically or requires action after an alert, and ask the administrator to show the result rather than promising that termination handles everything.
Test the connection you actually operate
Rydoo and ExpenseIn document roster sync. Ask each to show how a departure changes the expense account and who receives pending reports. Their employee imports alone do not establish automatic card locking or every account deactivation rule. Include a manager change in the same review so reporting lines do not send approvals to someone who has left.
With Expensify connected through Zapier, departure handling depends on your Zap. Test its trigger, member action and failure notification. The same review applies if you choose another automation provider. Assign someone to own that workflow, then ask how outstanding reimbursements remain payable after submission access ends.
Turn the connection into a buying decision
Choose around the workflow your team will own
If card access drives the decision
Start by evaluating Ramp's documented BambooHR connection and the organizational updates it supports. Have the card administrator attend the departure test. If you are considering moving card spend for the base software price, ask which spending permissions follow employee changes and which still require administrator action. Review personal expense repayment separately.
If reporting lines drive approvals
Compare ExpenseIn's documented import of reporting lines with Rydoo's employee and organizational data sync. Bring your actual approval requirements to the demo. Ask whether a manager change updates future reports, reports already awaiting approval or both. Request a quote after defining that scope, since no verified price is supplied here.
If Expensify is already in place
Evaluate whether third-party member automation is enough for the workflow you want to keep. Name an owner for the automation as well as for Expensify. Ask how failures become visible and how finance corrects a missed employee change. Include any automation provider charge in the proposal rather than treating the connection as included.
Use a representative expense in the purchasing review. Ask the presenter to show the employee record, its approver, the submitted report and the payment confirmation. Then change the manager and repeat the relevant steps. Record any manual intervention so the team buying the software understands the work it will still perform after the connection is enabled.
Put the acceptance criteria in the proposal. Employee creation, reporting-line changes, departures and repayment each need an owner and a visible outcome. Ask which system finance checks when the employee record looks correct but payment has not arrived. That question exposes gaps that a successful directory import cannot settle and gives your team a practical handoff to review.
Budget for HR and expenses separately
What the combined software costs at 50 people
The BambooHR baseline
The pricing page lists Core at $10, Pro at $17 and Elite at $25 per employee per month. Its FAQ also shows $10.25 and $17.50, so confirm the applicable quote. Using the listed Pro rate, 50 employees × $17 = $850 per month, and $850 × 12 = $10,200 per year before the expense tool.
For 25 or fewer employees, listed flat monthly rates are Core $250, Pro $425 and Elite $650. Those smaller-company rates do not apply to this 50-person example. Optional services belong in your final quote separately. Moving from Core to Pro or Elite does not create a native expense module.
The expense billing assumption
Assume 30 monthly filers among 50 staff, each submitting one report per month. The table applies member pricing to those 30 people, active-user pricing to those 30 active users and report pricing to their monthly reports. Ask vendors whether administrators or other employees increase the paid member count.
These are entry-rate comparisons, not evidence of BambooHR connectivity. Review Expensify's member pricing and Ramp's plan pricing alongside a written workflow proposal. The $0 card-platform rows assume card spend moves to that platform and do not establish a payroll reimbursement connection.
Swipe the table sideways to compare all columns.
| Expense option | Expense rate and calculation | Annual expense software | Annual total with BambooHR Pro |
|---|---|---|---|
| Expensify Collect | $5 per member monthly × 30 × 12 | $1,800 | $12,000 |
| SAP Concur Base | From $7 per report × 30 × 12 | From $2,520 | From $12,720 |
| Fyle Growth | $11.99 per active user monthly × 30 × 12, billed yearly | About $4,316 | About $14,516 |
| Ramp base | $0 software if card spend moves to Ramp | $0 | $10,200 |
| Brex Essentials | $0 software if card spend moves to Brex | $0 | $10,200 |
| Rydoo or ExpenseIn | Quote or check vendor page | Not priced here | $10,200 plus the expense quote |
BambooHR listed rates read October 23, 2026. Comparator rates verified October 20, 2026. Totals cover the stated software scenario, exclude optional services and do not confirm connectors. Fyle totals are rounded.

Where SpendNotify fits
Give budget owners a reason to act before report review
Employee records, approved reports and paid reimbursements serve different operational needs. Department owners also need to know whether spending is on pace to exceed their budget. SpendNotify reads charges from existing cards and bank accounts and brings that budget question to the owner.
What SpendNotify provides
SpendNotify has no BambooHR connector, pays no reimbursements and runs no payroll. It has no relationship with BambooHR or any named vendor. Keep your chosen expense tool responsible for its expense and repayment process.
SpendNotify alerts budget owners about projected department overspend, renewals that went up and new recurring merchants. Plans start at $199 a month, or $99 a month billed yearly. See the department budget alert workflow to understand how those warnings fit alongside the reports your team already reviews.
Questions buyers ask
BambooHR expense management questions answered
Does BambooHR have expense management?
No. BambooHR has no native expense management module. Its pricing page lists HR plans and optional services but no expense or reimbursement feature. Companies using BambooHR therefore add an outside expense tool. The marketplace includes a Travel & Expense Management category, but a marketplace listing does not make that tool part of BambooHR.
Does BambooHR do expense reimbursement?
No. BambooHR does not offer native expense reimbursement. On-Demand Pay provides early access to earned wages, which is a different service. Outside expense tools generally repay employees through their own ACH process. No reviewed source confirms approved reimbursements flowing back into BambooHR Payroll as a non-taxable earning, so request that demonstration separately.
How do I track expenses in BambooHR?
Track expenses in an outside expense tool while keeping BambooHR as the employee record. Rydoo imports employee and organizational data, and ExpenseIn imports employees and reporting lines for approvals. Ramp supports a BambooHR HRIS connection. Choose the report and repayment workflow separately, because importing the roster does not establish a BambooHR expense report module.
Does Ramp integrate with BambooHR?
Yes. Ramp lists BambooHR as a supported HRIS and offers a one-click connection without requiring a paid Ramp plan. Setup is under Company > Integrations > User management. With automatic updates enabled, locations, departments and manager relationships follow the HRIS. Those capabilities do not confirm reimbursement write-back into BambooHR Payroll.
Does Expensify integrate with BambooHR?
Through third-party automation, yes. No first-party Expensify integration with BambooHR was found in the reviewed sources. Zapier, Zoho Flow, Integrately and Workativ can connect employee changes to Expensify member creation or updates. Confirm your chosen automation handles departures and failures. Member updates alone do not send approved reimbursements into BambooHR Payroll.
How much does BambooHR cost per employee?
BambooHR lists Core at $10, Pro at $17 and Elite at $25 per employee monthly. Its FAQ also shows $10.25 and $17.50, so confirm the quoted rate. Companies with 25 or fewer employees have flat monthly prices. Expense software is separate because none of these plans includes a native expense module.
What is the best expense management software for BambooHR?
The best choice depends on whether you need card access controls, employee data sync or an existing Expensify workflow. Compare Ramp for its documented HRIS connection, Rydoo and ExpenseIn for employee sync, and Expensify for third-party automation. Require a separate demonstration of repayments and departures before treating any connector as a complete expense process.
